How to Use Payment Links Page

In this article, you’ll learn how to use the Payment Links page to track, manage, and resend payment links sent to clients.

The Payment Links page is especially useful when following up on unpaid invoices, checking payment statuses, or confirming that a client has completed a payment. It’s also where you can view Self Pay transactions—payments made by clients that won’t appear in their Financials tab but are still fully tracked within the system.

Step 1: Access the Payment Links Page

To access the Payment Links report, first log in to your Pabau account. From the left-hand navigation menu, click on "Money", and then select "Payment Links".

Step 2: Understand the layout of the report

The Payment Links page includes the following columns:

  • Pay Link – A unique payment link generated for the invoice. Click the copy icon to copy and send the link manually if needed.

  • Client – The name of the client the link was generated for.

  • Sent Status – Indicates whether the link has been sent to the client.

  • Balance – Shows how much is left to be paid on the invoice.

  • Invoice No – The reference number of the linked invoice.

  • Next Payment Due Date (Days) – Number of days remaining until payment is due, or overdue.

  • Payment Due Status – Displays whether the payment is Pending, Paid, or Overdue.

You can filter this list by sent status, payment status, invoice number, or client name. This is especially helpful when managing outstanding balances or tracking clients with overdue payments.

Step 3: Copy and send a payment link

If a payment link has not been sent, or if a client needs the link again, you can copy it directly from this page.
Click the copy icon next to the link under the Pay Link column. You can then paste it into an email, SMS, or any other platform you use to communicate with your clients.

TIP: This is the easiest way to manually resend a payment link when a client can’t find it in their inbox.

Step 4: How self-paid invoices appear here

When a client completes a payment using Self Pay, the invoice will still appear in the Payment Links report. You’ll see the same details, including the invoice number, balance, and payment status.
However, just like in the Sales History Report, Self Pay transactions do not appear in the client’s Financials tab. This is expected behavior because Self Pay acts like a standalone transaction. But you can still view and track the payment here in the Payment Links page.
This allows you to confirm that the invoice has been successfully paid, even if the record isn’t visible in the client card.

Step 5: How to make a self-paid sale

To record a self-paid sale in Pabau, click the "Create" button at the top of the screen and select "Sale" from the dropdown menu. Choose the client, add the relevant product or service, and then select Self Pay as the payment method to complete the transaction.

Step 5: Find the sale in the report

After completing the sale, return to the Paylinks. The self-paid transaction should now appear at the top of the list. From here, you can find the link to this self-paid sale.

You can use the client’s name, the invoice number, or the date to quickly locate the sale.
