Overview of the Board on Activities
In the article below, you'll discover a guide to the Activities board, its views, groups, columns, filters and automations.
Step 1: Navigate to All Boards
Start by logging into your Pabau account. Once you're in, click on ''Activities'' in the left sidebar menu to expand it, then select ''All boards''.

NOTE: Beneath All boards you'll also find ''Table view'', which lists every activity across the business in a single flat list rather than in board format.
Step 2: The Activities Hub
The hub is the page you land on, listing all of your boards. Across the top you'll find:

- Table view – Switches to the flat, cross-board list of every activity.
- Create board – Opens the Create board window.
Below that, Your boards displays each board as a card, showing how many groups and activities it holds and how many are done. Click a card to open that board.

Step 3: Opening a Board
Opening a board shows a navigation panel, the board's icon and its name. From here:

- Click directly on the board name to rename it.
- Click the star beside the name to mark the board as a favourite.
Beneath the name sit two view tabs - Main Table and Kanban — with the Automate button on the right.
The toolbar below holds everything you need to work with the board's contents:
- New Item – Adds a new row straight into the group. The small arrow beside it opens the full Create activity window instead.
- Search this board – Filters the visible items by name as you type.
- Person – Shows only the activities owned by a particular team member.
- Filter – Narrows the list by status or activity type.
- Sort – Orders items by Item, Type, Owner, Status or Due date, either A to Z or Z to A.
- Hide – Chooses which columns are visible.
- The ⋯ menu – Expands or collapses all groups, clears your filters, or deletes the board.
Activities themselves sit in color-coded groups, each showing how many items it holds, with an eye icon to show or hide the group and its own ⋯ menu. The table columns are Item, Type, Owner, Status and Due date, and ''Add item'' at the bottom of a group adds another row. A small coloured bar beneath each group summarises its activities by status at a glance.

Step 4: Managing Groups
Each group's ⋯ menu gives you the following options:
- Rename group – Renames the group.
- Collapse – Collapses the group out of view.
- Add item – Adds a new activity to the group.
- Duplicate group – Creates a copy of the group.
- Delete group – Removes the group.

Step 5: Editing Activities in the Table
Activities can be edited directly in the table, without opening them:

- Item – Click the activity's name to rename it inline.
- Owner – Click the + in the Owner column to open the people list, then search for and select a team member. Unassign leaves the activity without an owner.
- Due date – Click the Due date cell to open the calendar, then pick a date. Clear removes the date and Today sets it to the current day. Overdue dates are displayed in red.
- Type and Status – Click either cell to change its value.
Hovering over a row also reveals an ''Open'' button, which brings up the activity's full card for all remaining details.
Step 6: Working With Several Activities at Once
Tick the checkbox beside one or more activities and an action bar appears at the bottom of the screen, showing how many are selected along with the following options:

- Set status – Applies a status to everything selected.
- Assign – Assigns the activities to a team member.
- Move to – Moves them into another group.
- Duplicate – Creates copies of them.
- Delete – Removes them.
Click the X to clear your selection.
Step 7: The Row Menu
Each row also has its own ⋯ menu on the right, offering:

- Open activity – Opens the activity's full card.
- Duplicate – Creates a copy of the activity.
- Delete – Removes the activity.
Step 8: Showing and Hiding Columns
Click ''Hide'' in the toolbar to open Show / hide columns, where a toggle for Type, Owner, Status and Due date controls whether each column appears in the table.

Step 9: Filtering the Board
Click ''Filter'' to narrow what's displayed:
- Status – To do, Pending, Awaiting reply, Working on it, Stuck and Done.
- Type – Every activity type set up for your clinic, such as Email, Call, Message and Meeting.
Groups with no matching activities will display a message confirming that nothing matches the current filters.

Step 10: Automating the Board
Click ''Automate'' to open Put your activities on autopilot, where workflows turn repetitive admin into automatic rules, so activities are created, assigned and chased without anyone doing it manually. Each recipe follows a When / Then structure, for example:
- When a status changes to Stuck → notify the owner.
- When a due date passes → create a chase.
- When an activity is marked Done → schedule a follow-up in six weeks.
Select a recipe and click ''Create a workflow'' to set it up, or click ''Maybe later'' to close the window.

Step 11: Creating an Activity From the Board
Clicking the arrow beside New Item opens the Create activity window, where you can complete:

- Activity title – A short description of the activity, for example "Follow up call".
- Activity type – Select from the types set up for your clinic, such as Email, Call, Message or Meeting.
- Date and time – A start and end date and time for the activity.
- Note – Free space for any extra detail.
- Assign this activity to – The team member responsible for it.
- Board and group – Which board and which group within it the activity belongs to.
- Client / Lead – Switch between the two tabs and search to link the activity to an existing client or lead.
- Mark as done – Tick this if the activity has already been completed.
Click ''Save'' to create the activity, or ''Cancel'' to close the window without saving.
Step 12: The Kanban View
Click the Kanban tab to view the same activities as cards arranged in columns — one per status, in the order To do, Pending, Awaiting reply, Working on it, Stuck and Done — each with a running count of the activities it holds. Drag a card into another column to update its status.
The toolbar remains available in this view, so you can still search, filter, sort and add activities as you would in the table.
