How to Use Filters in the Converted Leads Report

This article explains how you can generate and customize the Converted Leads report in Pabau.

Step 1: Navigate to Analytics

Start by logging into your Pabau account using your login credentials. Then, navigate to the left sidebar menu, where you can find the Analytics tab. Click to expand it, and it will reveal Reports.

The Standard Reports page groups every pre-built report into categories — Clients, Leads, Sales, and Appointments.

Step 2: Open the Converted Leads Report

Under the Leads section, you will find the Converted Leads pre-created report, sitting alongside Leads by Source and Open Leads.

Click on the report name to continue.

Step 3: Review the Default Filter

The Converted Leads report opens with just 1 filter applied:

  • Lead where Won time is in This month — narrows the report to leads that were marked as won within the current calendar month

Each part of the filter — object, field, operator, and value — can be clicked and changed independently, which is what the rest of this article walks through. You can also click the + button below the filter to add further filters of your own.

Step 4: Change the Object

Clicking on the object (e.g. "Lead") opens a dropdown of what you can build a filter around. Unlike the Sales reports covered elsewhere in this guide, a Leads report only has two objects to choose from:

  • Lead — the lead record itself, covering everything from source and stage to activity history
  • Client — the client record the lead is linked to, once converted

Step 5: Change the Field

Clicking on the field opens a scrollable list, split into Static Fields 

 

The Static Fields available for the Lead object include:

  • Lead name — the name recorded against the lead
  • Lead created — when the lead record was first created
  • Lead email — the lead's email address
  • Lead owner — the team member the lead is assigned to
  • Lead phone — the lead's phone number
  • Lead source — where the lead came from
  • Lead stage — the current stage in the pipeline
  • Won time — when the lead was marked as converted, which is what powers the default filter
  • Lead status — whether the lead is open, won, or lost
  • Lead location — the clinic/site associated with the lead
  • Lead done activities — activities already completed against the lead
  • Pipeline name — which sales pipeline the lead sits in
  • First activity time — when the first activity was logged
  • Lead last activity date — when the most recent activity was logged
  • Lead last activity (Days) — how many days since the last activity
  • Lead lost reason — the reason recorded if the lead was lost
  • Lead total activities — the total number of activities logged
  • Won by — the team member credited with converting the lead
  • Activities to do — outstanding activities still pending
  • Lead creator — who created the lead record
  • Date of entering stage — when the lead entered its current pipeline stage
  • Email messages count — how many emails have been exchanged
  • Last email sent — when the last email was sent
  • Next activity date — when the next scheduled activity is due
  • Pipeline stage — the specific stage within the pipeline
  • Update time — when the lead record was last modified
  • Title — the lead's title
  • Capture form name — which form the lead was captured through
  • Lead ID — the lead's unique reference number
  • Lead first name / Lead last name — the lead's name, split into parts
  • Lead date of birth — the lead's date of birth
  • Lead service — the service the lead is interested in
  • Lead active — whether the lead is currently active
  • Lead Labels — any labels applied to the lead
  • Lead description — free-text notes on the lead
  • Lead mobile — the lead's mobile number
  • Lead Phone Opt In / Lead SMS Opt In / Lead Letter Opt In / Lead Email Opt In — the lead's marketing communication preferences

The Custom Fields section reflects whatever fields your practice has configured, which in this account includes entries such as City, Client Id, Country, Created Date, Date Of Birth, DOB, First Name, Last Name, Mobile, Salutation, and System Id.

NOTE: Custom Fields will differ from account to account, since they're built by each practice to capture the information that matters to them.

Picking a field here decides what the operator and value in the next steps will actually test.

Step 6: Change the Operator (Date-Style Fields)

For a field like Won time, which compares to a point in time rather than a fixed category, the operator list controls how the date compares to your chosen value:

  • is — only leads won on an exact date
  • is not — excludes leads won on an exact date
  • is later than — only leads won after a given date
  • is earlier than — only leads won before a given date
  • is exactly or later than — includes the date itself plus everything after it
  • is exactly or earlier than — includes the date itself plus everything before it
  • is now until — only leads won between now and a date you specify
  • is empty — only leads with no won time recorded
  • is not empty — only leads that do have a won time recorded, which is how the default filter isolates leads won this month

Step 7: Choose the Value

Clicking on the value for Won time opens the Favourite Intervals list — rolling date ranges that update automatically each time the report runs:

  • Today — from midnight until the current time
  • Yesterday — the previous 24 hour day
  • This month — the current calendar month, and the default for this report, useful for tracking conversions so far in the current period
  • This year — the current calendar year, useful for comparing lead conversion across a longer stretch

Step 8: Review the Data

Once your filter is set the way you want, the report updates automatically, listing every lead that was marked as won in the period, along with details such as lead source, owner, and pipeline stage.
