This article explains how you can track and manage package sessions in Pabau.
When a client purchases a package in Pabau, the system automatically tracks and deducts sessions as they are used. This guide walks you through the process of booking, redeeming, and monitoring package sessions, ensuring accurate tracking and seamless management.
Step 1: Sell a Package
Start by logging into your Pabau account using your login credentials.
Packages can be sold through the point of sale, or in the online booking portal, where clients can purchase them themselves.
Step 2: Book a Session From a Package
When a client purchases a package, they have two ways to book their sessions:
Staff can schedule a session directly from the calendar—refer to this article to learn how.
Clients can also book their sessions online. For details on how clients can book sessions online, check out this article.
Step 3: Redeem Session
To redeem a package session, open the appointment booked with a package in your calendar and click on it. From the available actions, select 'Checkout' in the bottom right corner. This will take you to the checkout screen.
Proceed with paying for the appointment using a package. For detailed steps on how to do this, check out this article.
Step 4: Access the Client Card
After a client books a session, you can check their package status from their client card. Access it by clicking the client’s name in the calendar, selecting them from the ‘Clients’ list in the left sidebar, or using the search bar at the top of the page.
Step 5: Switch to the Packages Tab
To check a client's purchased packages, go to the 'Packages' tab in their profile. Here, you'll find all their packages — active and expired, along with activation dates, redeemed sessions, and remaining sessions.
Step 6: Review Usage History
To see a breakdown of redeemed and remaining sessions, click on the package name. A pop-up window will display their usage history details.
The 'Date' section shows the date and time when the package session was booked or redeemed.
The 'Appointment' section displays the name of the service booked as part of the package.
'Staff Performed' shows the practitioner who the appointment is booked with or who carried out the treatment.
In the 'Value Each' section, you'll see how Pabau calculates the price per session.
When you set a price for a package in Pabau, the system automatically calculates the cost of each session by dividing the total package price by the number of sessions included. For example:
- You create a package with 5 sessions and set the total price to £500.
- The price per session would be calculated as:
£500 ÷ 5 sessions = £100 per session
This means that when a client books a session from their package, Pabau deducts one session and records its value based on this calculation.
On the 'Status' section, the following status types appear:
- Booked (Blue): Appears when a package session is scheduled.
- Pending (Yellow): Indicates the session hasn’t been scheduled yet.
- Redeemed (Green): Updates once the invoice is raised for the appointment and paid with a package.
That’s how Pabau tracks and calculates package sessions, ensuring everything adds up automatically.
