Creating a professional invoice template not only enhances your clinic’s brand but also ensures clients can pay easily and trust your process. Below are our best practice tips when setting up invoice templates in Pabau.

Use a Clean, Branded Layout

When uploading your logo, choose a medium-sized version and position it either in the top-left or center of the template. This keeps the layout tidy and consistent with the rest of your documents.

Your clinic’s address, contact information, and company number will automatically populate from your Business Details and Location Settings, so there's no need to hard-code these fields. Keeping them blank ensures consistency and easier updates in the future.

Enable Stripe for Seamless Payments

Make it easy for clients to pay directly from the invoice. Simply enable Stripe in your Pabau Wallet settings, and you’ll see a “Pay with card” button appear on the invoice.

Add a QR Code Pay Link

QR codes are a great way to give clients another easy way to pay — especially for mobile users. Once Stripe is connected, you can enable a QR code pay link, which will automatically appear on each invoice.

Show Bank Details for Transfers (Optional)

If your clinic accepts payments via bank transfer, you can display your banking information directly on the invoice. This is particularly useful for B2B clients or high-value services where transfers are preferred.

Use Custom Fields (If Needed)

For clinics with specific billing needs (like insurance reference numbers, authorization codes, or notes), you can create custom fields to display on your invoice.
