How to Use AI Templates to Create Smarter Treatment Notes

AI Templates is a powerful new feature in Pabau designed to help you create fast, accurate, and personalized treatment notes using artificial intelligence.

By training the AI with your own example notes, you can ensure the system mimics your tone, structure, and preferred phrasing, making your documentation feel natural and consistent while saving valuable time.

Step 1: Navigate to Setup

Start by logging into your Pabau account using your login credentials. Then, navigate to the Setup button located on the bottom of the left sidebar menu to access the Setup page.

Step 2: Create / Edit Form Template

Create a form by navigating to the Create button in the top right corner, or edit existing forms by clicking on the form you want to edit.

Step 3: Access AI Templates

In the create/edit form modal, switch to the "AI Templates" tab. This will open a text field where you can define specific rules and instructions that will be sent to the AI when generating treatment notes.

Step 4: Add Instructions

Begin to add instructions for AI in the text field. Some examples of instructions you can add are:

Tone & Structure Preferences

• "Use a professional but friendly tone."

• "Always start with a summary of the client’s main concerns."

• "Write in complete sentences, avoid abbreviations."

• "Structure the note using sections: Client Concern, Treatment Performed, Observations, Aftercare."

Key Information to Always Include

• "Always mention that the client gave verbal consent before treatment."

• "Include a reminder for the client to follow aftercare instructions for 48 hours."

• "Add a disclaimer about potential side effects at the end of the note."

• "Mention the product used and batch number."

Clinical Specifics

• "Include skin condition observations (e.g., redness, texture, sensitivity)."

• "If Botox is mentioned, note the number of units and areas injected."

• "If client is pregnant or breastfeeding, include: 'Client is not eligible for this treatment at this time.'"

Language & Style Preferences

• "Avoid technical jargon — write in simple, easy-to-understand language."

• "Use bullet points for aftercare instructions."

Step 5: Save Instructions

Once you've added your instructions, proceed to scroll down and navigate to the bottom right corner of the screen. Then, click the "Save" button.

Step 6: Save Form

After you've configured all the settings, ensure to click the "Save Form" button at the top right corner of the page to finalize the updates.
