# How to Share Custom Reports

## This guide explains the steps to sharing custom reports generated in Pabau, offering a link that can be accessed by anyone, regardless of having a Pabau account.

There are two ways to share a custom report in Pabau: generate a public link that anyone can open without logging in, or use "Manage access" to control exactly which colleagues can view or edit the report. This guide covers both.

#### **Step 1: Open Reports**

[Log in to your Pabau account](https://app.pabau.com). In the left sidebar, hover over **Analytics** and click **Reports**. The reports catalogue opens, with every report you have access to.

#### **Step 2: Open the Saved Custom Report**

In the reports view, click "My reports" in the left sidebar to access a list of your saved custom reports. Identify the specific report you want to share and click on its name to open it.

#### Step 3: Share the Report via a Public Link

When ready to share, click the share icon in the top-right corner of the page. Each click generates a new link to the report that can be shared with anyone.

This link allows recipients to open and view the report without needing to log into Pabau.

**NOTE:** The share icon is only available on custom reports — standard (pre-built) reports cannot be shared via a public link.

#### **How long does a public link work, and can I revoke one?**

A public link stops working **one hour after it was created**. After that, anyone who opens or refreshes it sees "Expired shared report or does not exist" instead of the report. If you need to share the report again, click the share icon to generate a fresh link.

There is no button to revoke an individual link before the hour is up. If a link has been sent to the wrong person and you need it to stop working straight away, delete the report: a link to a deleted report also shows "Expired shared report or does not exist". You can rebuild the report afterwards, and any new link you create will be a different one.

**IMPORTANT:** Expiring or deleting a link cannot recall anything the recipient has already viewed, copied or screenshotted. If patient data was shared by mistake, follow your clinic's data protection procedure.

**NOTE:** "Manage access" controls which colleagues can open the report inside Pabau. It does not affect public links, which work for anyone holding the link until they expire.

#### Sharing With Colleagues Using "Manage Access"

To control who inside your Pabau account can see or edit a report, use "Manage access". In the reports view, click the three-dot menu at the end of the report's row and select "Manage access" — only the report's owner sees this option. You can choose between:

- **Private to the creator** — only you can open the report.
- **Everyone can access** — all employees in your account can access it.
- **Shared with team(s)** — shown when the report is already shared with team(s); members of the assigned team(s) can access it. To set up a new team share, use "Specific users or teams".
- **Specific users or teams** — choose exactly who, and set each person's access to "Hidden", "View only", or "View & edit".

You can also manage access while editing the report in the report builder, using the access control next to the "Save Report" button. Reports that colleagues have shared with you appear under "Shared with me" in the left sidebar of the reports view.

#### Changing the Report Owner

If you own a report, you can transfer it to a colleague by clicking the three-dot menu on the report's row and selecting "Change ownership". The new owner then controls the report's access.

By following these steps, you can easily navigate, generate, and share reports within Pabau, promoting effective collaboration and accessibility to valuable insights.
