How to Set up a Purchase Gift Vouchers Online Automation

In this guide, we’ll walk through setting up an automation to inform your new clients about the option to purchase gift vouchers online, including the steps they need to follow. A template is also provided below for your convenience.

Please ensure the following prerequisites are met for gift vouchers to appear in your online booking portal:

• Stripe integration: Your Pabau account must be integrated with Stripe. Follow the steps outlined in this article to set up the integration.
• Gift voucher setup: You must create gift vouchers, enable their availability for online purchase, and allow gift voucher sales in your online booking portal.

Additionally, you can add a “Gift Voucher” button to your website, which will direct clients straight to the gift voucher purchase page. For guidance, follow this article, or contact our support team for assistance.

Important Information About Gift Voucher Purchases

When a gift voucher is purchased, two notifications are automatically sent:

• Invoice Message: Sent to the purchaser, using the Invoice client notification template.
• Gift Voucher Message: Sent to the recipient, using the Gift Voucher client notification template.
  
  

If the recipient does not yet exist in your Pabau account, a client card and an online booking account will be automatically created for them once the gift voucher is purchased.

Setting Up the Automation

Below is a suggested automation setup to inform new clients about purchasing gift vouchers online. Feel free to customize the audience, message, and design to suit your needs.

Step 1: Navigate to Automation

Log into your Pabau account and navigate to Marketing in the left sidebar menu, then click on "Automation."

Step 2: Start Creating an Automation

Start creating an automation as usual. Click on "Create Automation" in the top right corner, select "Start from scratch," and choose "Clients" as the data object.

Step 3: Configure the Automation Settings

In the "Settings" tab, you can set up the following settings or adjust them as you prefer.

• Automation Title: Enter a name for this automation, such as "Purchase Gift Vouchers Online."
• Email subject: Enter a subject line, for example, "The perfect gift is just a click away!"
• From: Choose the sender you want to use for this automation.
• When: Select a suitable time to run the automation each day. You can toggle "Don’t send to the same client more than once" if you want to make sure clients don’t receive the same email more than once. However, if you set up the audience as described below, it will not make a difference whether the toggle is on or off, as each client will receive this email only once.
  
  

Step 4: Define the Audience

In the "Audience" tab, click on "Create" to set up a new audience. One approach is to target clients who are active and whose profiles were created a specific number of days ago.

For instance, if you set "Client created date is 20 days ago," this will ensure that each new client receives this email 20 days after being added to Pabau.

Step 5: Design the Email

In the "Design" tab, select a template as a starting point or build the email from scratch.

Here is an example of the email content that you could use to inform clients about the option to purchase gift vouchers online. Feel free to adjust it as needed, such as by modifying the text, adding buttons, images, or anything else that reflects your brand and communication style.

Step 6: Review and Activate the Automation

In the "Review" tab, decide whether to save the automation for later activation or click on "Turn on" to activate it immediately.

This completes the setup, and the automation will start sending emails according to the schedule you configured.
