How to Set Up a Default Deposit Policy

In this article, we'll guide you through the process of establishing an automated default deposit policy in your Pabau account.

Taking deposits at the time of booking is an effective strategy to minimize last-minute cancellations and no-shows. To implement a default deposit policy applicable to all services (excluding those with specific service-level policies), follow the steps below. 

NOTE: The deposit policy will be in effect on your online booking platform only if your Pabau account is integrated with Stripe.

If you’ve recently upgraded from Pabau Classic to Pabau 2, please reconnect your Stripe integration using the steps provided in this article. This update is necessary as Pabau 2 features a new connection method with Stripe.

Reconnecting will ensure that all Pabau Pay terminal features function smoothly and will also unlock 12 additional payment processing options.

Step 1: Access Policies

Log in to your Pabau account, click on "Setup" in the left sidebar menu, then select "Policies" under Financials.

Step 2: Configure Deposit Settings


Click on "Deposits" to access deposit settings. 

First, choose whether the default deposit policy applies to "Online Bookings" only or "All."

Choosing "All" means that when you book appointments manually in the Calendar, you will be required to process the payment of the deposit at the Point of Sale.

Step 3: Select Default Deposit Policy

Choose your default deposit policy from the available options: zero charge, a flat rate of $25 or $50, a 50% deposit of the appointment price, the full amount, or a custom amount under "Custom."

If you opt for "Custom," specify whether to charge a specific percentage of the appointment price or a custom flat rate.

NOTE: To set up service-specific deposits, overriding the default deposit policy when a particular service is booked, please follow the steps outlined in this article.

Step 4: Activate and Save

After selecting your desired deposit amount, activate the policy by toggling the switch next to "Active" in the top right corner. Complete the setup by clicking on "Save."

By following these steps, you can establish a default deposit policy, streamlining the deposit process for all services, ensuring a smoother booking experience, and reducing the likelihood of appointment cancellations.
