How to Enable and Use Rolling Deposits 

Learn how rolling deposits allow clients with an existing account balance to book appointments without paying an additional deposit.

The Rolling Deposits setting allows clients who already have a positive account balance (i.e., unallocated payments) to book appointments without needing to pay an additional deposit, even if the business has a deposit policy enabled.

Step 1: Navigate to Setup

Start by logging into your Pabau account using your login credentials. Next, click on Setup at the bottom left of the sidebar menu to open the Setup page.

Step 2: Access Policies 

Find "Policies" located under the Financials section.

Step 3: Configure Deposits

From the Policies page, select the "Deposits" option to configure the settings.

Step 4: Enable Rolling Deposits

After you've set up your deposit settings, scroll to the bottom of the Deposit settings and tick the checkbox next to "Rolling Deposits".

NOTE: If this setting is enabled, a deposit won’t be required for booking a service if the client has money on their account balance.

 

In the Minimum account balance required field, you can add the lowest amount of money a client must have on their account (as credit or unallocated payment) in order to skip paying a deposit when booking an appointment.

  • For example:
    If the minimum account balance is set to £20, and a client has £25 on their account, they won’t be asked to pay a deposit when booking.
    If they have less than £20, the system will still ask for a deposit.

Step 5: Save Changes

Once you’ve set the deposit amount, scroll to the top right corner and activate the toggle. Then, click the "Save" button to apply your changes.

How it works once you’ve set it up:

  1. Calendar Bookings (Staff)
    If the client's account meets the minimum balance requirement, the "Pay and Book" step will be skipped.
    You can proceed with the booking as usual, just like when no deposit is required.

  2. Online Bookings (Clients)
    When clients have enough funds on their account, they won’t be asked to pay during booking.
    Instead, they’ll move through the regular online booking process without being prompted for payment.

By following these steps, you can successfully enable and use rolling deposits.
