In this article, we’ll explain the different payment methods available in Pabau’s Point of Sale (POS) system, focusing especially on the card-related options.
Understanding what each payment type represents is essential for accurate reporting, efficient bookkeeping, and ensuring your team uses the correct method when recording transactions.
Below is a breakdown of each POS payment type and when to use them.
Card-Related Payment Options
1. Card Terminal
This option should be used when the client is paying via a physical card terminal that’s integrated with Pabau. They'll simply tap or insert their card to complete the payment through the connected card reader.
The terminal must be properly integrated for this to work. If it's not, you'll need to use one of the manual options below.
2. Card (Manual Entry)
This is for situations where a client provides their card details verbally or in writing, and you manually enter the card number, expiry date, and security code. This is typically used for over-the-phone payments or when your integrated terminal isn't working.
Always use this with caution and ensure you follow all PCI compliance guidelines.
3. Card on File
This option is for clients who already have a card securely stored in Pabau through a payment processor (like Stripe or Pabau Pay). It's great for quick, easy payments from a saved card, often used for deposits, online bookings, or recurring services.
You'll need to have the card details saved in the client’s profile beforehand for this option to be available.
4. Card (Other)
This is a generic option to record a card payment that doesn't fit into the other specific categories. For example, you might use this if the card was taken on an external terminal that isn't linked to Pabau (like a different front desk card reader).
This option won't trigger any integration actions, it simply records that a card was used for the payment.
5. Self Pay
This option is for when a client will complete the payment on their end, such as through an online invoice or a payment link sent to them. You'd use this if the client will pay online at a later time or via their client portal.
Selecting "Self Pay" does not collect payment immediately. It only logs that the client is expected to complete the payment themselves.
Other Common Payment Types
Account
This refers to using credit that the client has on their account (often called "money on account"). If a client has previously added funds or received a refund stored as account credit, they can use this balance to pay for future services or products.
Useful for: Prepaid balances or clients who leave deposits to be used later.
Packages
When a client has purchased a package (e.g., 6 facials or 10 laser sessions), they can redeem sessions through the POS using this option. No additional payment is taken at the time of redemption but it's simply deducting one of their included sessions.
Useful for: Redeeming prepaid services included in a package.
Points
Some businesses use a points-based loyalty program in Pabau. If the client has accumulated enough points, they can redeem them to pay for certain products or services. The system will deduct the equivalent value in points from their balance.
Useful for: Loyalty or rewards programs.
Vouchers
This refers to gift vouchers or promo vouchers that the client can apply as a form of payment. The voucher value is deducted from the total, and any remaining balance (if applicable) can be paid using other methods.
Useful for: Gift vouchers, promo codes, or store credit in voucher form.
Cash
Used when the client pays with physical currency.
Choosing the right payment type in Pabau's POS is crucial for accurate financial reports, smooth reconciliation, and ensuring your staff always follows the correct procedure. By paying attention to these details, you'll gain clearer insights into your finances and ensure every transaction is handled correctly.
