How to Create a Letter


This article guides you through the process of crafting a letter in Pabau.

Step 1: Log In and Locate Client

Log in to your Pabau account and use the search bar at the top of the screen to find the specific client for whom you intend to create a letter.

Step 2: Access Letter Creation

Within the client card, click on the blue plus icon at the bottom right. Choose "Communication" and then select "Letter."

NOTE: Ensure the client has a listed address for the Letter option to be accessible.

Step 3: Configure Letter Details

Recipient (client) and sender (user) details auto-populate. Add a subject and utilize the "Add field" button for personalized tags. 

To adjust the page size, orientation, or margins, click on Page Settings to expand the menu.

Step 4: Compose the Letter

Write the letter by typing it into the text editor. You can also rely on the Pabau AI to help you with your letter.


Through the Client Record button, you can include information from that client's card directly into the letter. 

You can also upload files through the image icon in the toolbar.


Optionally, use a letter template from the Templates section.

Explanation of Toolbar Icons: 

You can use the Bold, Italic, and Underline options to modify the text of the letter. This allows you to highlight important information in bold, indicate cautions to patients with italics, and draw attention to specific parts of the text with underlining.

The Strikethrough option allows you to cross out text, such as previous information that is no longer valid. With the List option, you can add bullet points or number listings to organize information, cautions, or notes effectively.

With the Picture option, you can attach any picture you want to the letter. The Table option allows you to insert tables into the letter, organizing information neatly. Additionally, the Alignment tool lets you align text to the left, right, or center, shaping the letter's appearance and structure.

 

 The Font button allows you to change the font style and size of the text in the letter. You can also adjust the size by clicking on the number button next to the font, minimizing or maximizing it as needed.

The Personalization button enables you to add personalized touches to the letter. Clicking on this button will open a new menu with various merge tags for customization and personalization.

With the "Add Link" button, you can insert text and hyperlink it to a page or link from a website that you'd like to share with your patient. This feature allows for easy navigation to relevant online resources.

Step 5: Schedule Follow-up Activity

If you'd like to schedule an activity to follow up on a letter, check the Create a task to follow up checkbox - this will reveal scheduling options.

Step 6: Save and Print

Click "Save & Print" to choose the letter status and save it. If "Completed" is selected, you can email the letter as a PDF or print it.


The letter is now accessible in the Communications tab within the client card.


How to Edit a Letter

In this article, we'll show you how to edit a letter in Pabau. If you need to make changes to a letter, follow these steps. 

Step 1: Navigate to Letters

Log in to your Pabau account and navigate to Clients in the left sidebar menu, then click on "Letters".

Step 2: Access Editing Options

Locate the three-dot button on the far right of the letter you wish to edit. Click on it, then select "Edit."

Step 3: Make Changes

In the editor, make the desired modifications. The editing process mirrors that of creating a new letter.

Step 4: Save Changes

Click on the arrow in the "Save & Print" button. Choose the desired letter status and save the changes.


Now, your edited letter is updated and reflects the changes made in the Communications tab within the client card.


How to Print a Letter


In this article, we'll guide you through the process of printing a letter in Pabau. If you need a hard copy of a letter, follow these steps.

Step 1: Navigate to Letters

Log in to your Pabau account and navigate to Clients in the left sidebar menu, then click on "Letters".

Step 2: Select the Letter and Initiate Printing

Locate the specific letter you want to print. Click on the three-dot button on the far right and choose "Print."

A new tab opens with the letter displayed as a PDF. Print the PDF using your standard printing method.

Step 3: Print from Client Card 


Alternatively, search for the client in the search bar, go to their client card, and access the Communications tab. Locate the desired letter, click the three dots, and choose "Print."

NOTE: If a letter has been previously printed, an icon will indicate this beside the three-dot button. Hover over it to see the date of the last print.


How to Delete a Letter


In this article, we'll guide you on how to delete a letter in Pabau. If you need to remove a letter from the system, follow these steps. 

Step 1: Navigate to Letters

Log in to your Pabau account and navigate to Clients in the left sidebar menu, then click on "Letters".

Step 2: Delete the Letter

Locate the specific letter you want to delete. Click on the three-dot button on the far right and choose "Delete." Confirm the deletion in the prompt that appears.

Step 3: Delete from Client Card 


Alternatively, search for the client in the search bar, go to their client card, and access the Communications tab. Locate the desired letter, click the three dots, and choose "Delete". Confirm the deletion in the prompt that appears.

The letter has now been successfully deleted.


How to Change the Status of a Letter


In this article, we'll guide you on how to change the status of a letter in Pabau. Whether you want to mark a letter as completed or make other status changes, here are the steps to follow:

Step 1: Navigate to Letters

Log in to your Pabau account and navigate to Clients in the left sidebar menu, then click on "Letters".

Step 2: Change the Letter Status

Locate the three-dot button on the far right of the letter for which you want to change the status.

Click on the three-dot button, then select "Edit."

NOTE: If you're changing the status to Completed, skip the next step.


Click on the arrow in the "Save & Print" button to choose the new letter status.

Step 3: Change Letter Status from Client Card 


Alternatively, search for the client in the search bar, go to their client card, and access the Communications tab. Locate the desired letter, click the three dots, and choose "Edit".



Click on the arrow in the "Save & Print" button to choose the new letter status.

If you've changed the status to Complete, a pop-up will appear where you can decide whether to email or print the letter.
