How to Use the Appointment Request Overview in the Calendar

In this article, we’ll show you how to view all appointment-related details — like forms, invoices, and confirmations from a single screen in your calendar.

Step 1: Access the Calendar

Start by logging into your Pabau account using your login credentials. Once you're in, head to the left-hand side menu and click on Calendar. This is where you can view all scheduled appointments for your clinic.

Step 2: Select Appointment 

Find the appointment you’d like to view and click on it to open the appointment modal. This will display all available actions and details related to that booking.

On the right-hand side of the appointment modal, you will view two tabs.

Step 3: View Form Requests Tab

The first tab is the Form Requests tab, and it gives you a quick summary of everything you've asked the client to complete or respond to for a specific appointment. This includes:

  • Forms that were sent to the client

  • Invoice payment links

  • Confirmation requests

Each item will show you the method it was sent (email or SMS), the status (pending, paid, or confirmed), and whether or not it was successfully delivered.

Step 4: Add a New Form

If you need to send an additional form to your client, you can easily add it right from the appointment overview. Just click the + Add Form button. This will open a list of available forms for you to choose from. Select the form you want to send, and it will be added to the appointment’s requests and sent to the client accordingly.

If a form has been requested but not yet completed by the client, you can remove the request.
Hover over the form, click the red cross icon in the bottom right corner, and confirm removal in the pop-up modal.
This action deletes the form request from the system, so the client will no longer be prompted to complete it.

Step 5: View Communications Tab

The Communications tab is located just below the form requests. This tab displays all appointment-related communications in one place. You'll see a sidebar showing the status of:

  • Feedback Surveys
  • Appointment Confirmations
  • Appointment Reminders

Each communication type will show its current status, e.g., Surveys & Reminders can be: Not Sent, Scheduled, or Sent. Confirmations are sent instantly and will reflect as Sent right away

By following these steps, you can easily check which forms have been received, completed, or not sent to the client directly from the Calendar.
