Pabau's video conferencing feature makes it easy for doctors and clients to meet online. This guide will show you simple steps to use this feature for virtual appointments.
Step 1: Log in and Create a Virtual Service
First, log in to your Pabau account. Then, create a new virtual service to start setting up virtual appointments.
Step 2: Book an Appointment
Access the Calendar by selecting it from the left sidebar menu, and proceed to schedule an appointment, selecting one of your virtual services.
Step 3: Joining the Virtual Appointment
Clients get an email with a "Join with Pabau Video" button. Clicking it at the scheduled time gets them into the virtual meeting.
Step 4: Accessing the Virtual Appointment
As the practitioner, there are two methods to join the virtual appointment:
- Click on the appointment in the calendar, followed by clicking the "Join with Pabau Video" button.
- In the client's card, navigate to the Appointments tab, hover over the virtual appointment, click the three dots, and select "Join with Pabau Video."
Step 5: In the Virtual Appointment
After clicking "Join Room," a screen with various options will appear.
Starting from the top-left, you have these options:
- Easily access the client's card.
- Quickly access the Point of Sale.
- Swiftly access the 'Timeline' of the client in the video call.
Once clicked, the Timeline on the right side will open, allowing you to choose the date and the specific type of document, appointment, invoice, or medical form you want in front of you. This is handy for referencing medical forms or past appointments while communicating with your client.
To hide the Timeline, click the Timeline icon again.

Copy Patient Link: This duplicates the conference call URL. Clicking on this option automatically copies the link, which is crucial for the client to access the video conference. They have already received an email containing the same link, however, if they encounter difficulties accessing their email, you can send the link via email or other channels.

Send Email Reminder: If the client is late to the meeting, you can send them an email reminder.

Full Screen: Expand the video conference view.

Click on your Avatar or picture to access "Settings" and adjust video and audio settings.
At the bottom, there are icons for muting/unmuting your microphone, blocking/unblocking camera access, sharing your screen, and ending the video call.
Once the client joins the video call, you will see him on the left-hand side.
Step 6: Troubleshooting Camera and Microphone Issues
Due to security reasons, some devices may restrict apps from accessing your camera and microphone. Follow the instructions below to address potential access blocks on your camera and/or microphone:
Chrome Settings:
Open Chrome and access the browser's settings by clicking on the three vertical dots in the top-right corner.
Select "Settings," and then, within the Privacy and Security" section, locate and click on "Site settings."
Select either Camera or Microphone to access the respective setting.
If your camera and microphone are marked as "Don't allow sites to use your camera," choose the other option, "Sites can ask to use your camera".
Additionally, make sure that the "https://conference.pabau.com" site is not listed under the "Block" section. If present, remove it by clicking the "Recycle bin" icon.
After making these changes, confirm that your camera and microphone settings align with the recommended configuration, then return to the Video Conference tab and reload the page by clicking the "Reload" button in the top-left corner.
When prompted by the Video Conference, allow access to your camera and microphone by clicking "Allow" in both cases.

If issues persist after updating Chrome settings, check your device's Camera/Microphone settings.
For Mac Users:
Under Privacy, select "Camera" and enable access to the relevant app.
For Windows Users:
Press Windows + I or click the Settings icon.Within the Settings menu, navigate to Privacy and choose Camera.
You’ll see an option that says “Let apps use my camera“. Slide the toggle to the On position, and then choose from the list of apps below to grant camera access to selected applications.
The Video Consultations feature is compatible with both iOS and Android devices.
If you can see a client but cannot hear them, and they are using an iPhone, instruct them to follow these steps:
Navigate to iPhone home, tap Settings and select Safari. Scroll down to Settings for Websites. Find "Microphone" and ensure it is set to "Allow." Reload the Video Consultation link, and this should resolve the issue.
