How to Set Up Reminder Emails and SMS

In this article, we'll explain how you can set up appointment reminder notifications.

Step 1: Navigate to Setup 

Start by logging in to your Pabau account using your login credentials. Then, navigate to Setup and expand the Communications tab located in the "Marketing & Communications" section. This will reveal "Client Notifications."

Step 2: Enable Notifications

Ensure that the notifications are enabled by hovering over the "Enable Confirmations" button. Then, tick which notifications you would like to enable. 

If you want to use your custom template instead, click the Standard Email Template button to reveal the Custom Email Template option. Review this article to learn how to create custom notifications.

Step 3: Customize Appointment Reminder Email

Click on 'Upcoming appointment reminder' to customize the standard template. On the right side of the screen, you can see a preview of the notification as it will appear to clients. Make changes and customize the notification on the left side.

Step 4: Set a Reminder Timeframe

The reminder timeframe setting is located at the top of the reminder builder. Here, you can set how far in advance of the appointment the reminders are sent to clients.

Step 5: Create an SMS Reminder

After you are done customizing the email reminder, you can switch to the SMS tab. Everything you write on the left message box will display how it will look as text.  

You can use merge tags to populate information according to each client.

Merge tags are placeholders that automatically fill in specific information for each client. When you use merge tags, they are replaced with the relevant data for that particular client, such as:

  • Client Name: Personalizes communication by addressing clients by their names.
  • Appointment Date and Time: Specifies when the client has booked their appointment.
  • Address: Includes the location details relevant to the client.
  • And More: Populate other personalized details like contact information, service details, and custom messages.

Using merge tags ensures that each client receives tailored information, making communications more personalized.

Step 6: Save Changes

After ensuring that you have selected the correct templates and enabled the reminder notifications, click the Save button located at the top right corner to save the changes.
