How to Set Up and Manage Smart Pricing
This article explains how to set up and manage smart pricing in your Pabau account.
Step 1: Navigate to the Money Tab
Start by logging into your Pabau account using your login credentials. Then, navigate to the Money tab in the left sidebar menu. Click to expand it, and you'll see the Smart Pricing sub-tab.
Step 2: Access Smart Pricing Page
Once you're on the Smart Pricing page, you will view the dashboard widget that displays the total number of appointments for the selected date range. It uses a color gradient to visually represent how busy each day is. As appointment numbers increase, the color intensity will shift accordingly.
- Date range: In the top-right corner of the Dashboard Widget, a drop-down menu provides options to filter appointment data by Last 90 Days, Last 30 Days, or Last 7 Days. Selecting a date range updates the widget in real time.
- Choose location: If multiple locations are available, a location picker allows users to filter data by a specific location. When a location is selected, the widget updates to show appointment data for that location only. By default, the All option is selected, displaying data for all locations combined.
NOTE: Only non-cancelled appointments are included in the total, giving you an accurate view of actual bookings.
Step 3: Set Up Smart Pricing
Go to the top right corner and click the "Setup Smart Pricing" button to get started.
Step 4: Set Up Team Members
Once you click the Setup Smart Pricing button, a modal will open where you can configure your Smart Pricing settings. Start by setting up the staff members eligible for Smart Pricing. Use the search bar at the top to quickly find specific team members.
Tick on the staff member names to include them.
Step 5: Select Services
Now, select the services that you want to be included in the smart pricing scheme by ticking the boxes in front of the service names. Use the search bar to quickly find a specific service.
Step 6: Set Up Smart Pricing Rules
When setting up Smart Pricing rules, the checkbox next to each day will allow you to select that day and apply the pricing rules accordingly. If the checkbox is not ticked, the pricing rules for that day will not apply.
Clicking on the downward arrows next to each day will open a drop-down where you can configure pricing rules.
Here you can select from which time to which time the price can change. Staff members will be able to add as many smart prices as needed, as long as there isn’t a collision in the hours and locations.
- The From and To fields function the same way they do in the scheduler, ensuring consistency in how time is selected.
- Under the Price change field, there are two available options: Increase and Decrease, allowing you to adjust pricing based on demand.
- When setting the Change by value, you can choose between a percentage (%) or a flat rate. Only number entries are allowed; negative values (e.g., -14) are not permitted. If you need to remove a pricing rule, clicking on the red Bin icon will delete it immediately.
- Selecting Increase should raise the price of the item according to the configured settings, while selecting Decrease should reduce the price accordingly.
- If you enable the "Show icon in online bookings for "Off peak pricing" toggle, the following changes will be applied to online bookings:

Adjusted Price – The price will automatically increase or decrease based on the Smart Pricing rules you have set.

Discount – A percentage discount will be displayed in online bookings, showing clients how much they are saving on that service.

Banner: A banner will appear in online bookings, highlighting that a discount is available.
This ensures that clients can easily see pricing adjustments and any savings when booking online.

Step 8: Save Changes
Once you're done configuring the smart pricing rules, click the "Confirm Setup" button in the top right corner of the screen to save the changes.
The Smart Pricing page displays a dashboard widget where the weekday sections show the hours covered by Smart Pricing for each day. To add Smart Pricing to additional days, click the “+ Add Pricing” button.
This will open a pop-up window where you can configure the pricing details.
