How to Refund Remaining Package Sessions

This guide will walk you through the steps to refund the value of remaining sessions from a package in Pabau. This process allows you to transfer the session value back to the client’s account and efficiently process the refund.

Step 1: Navigate to the Client Card

Start by logging into your Pabau account. On the homepage, use the search bar at the top of the screen to find a client by entering their name, phone number, email, or client ID. Enter at least three letters of the client’s name for them to appear.

Step 2: Access the Packages

Once you are on the client's profile, navigate to the "Packages" section. Find the package for which you want to refund the remaining sessions. Click on the three dots (kebab menu) next to the package and select "More Details" from the dropdown list.

In the pop-up window, you will see the remaining sessions for this package. Next to each session, there are three dots (kebab menu). Click on them and select "Transfer to Account." In the subsequent pop-up window, click "Transfer" to complete the process. This action transfers the monetary value of the session to the client’s account balance.

Step 3: Access the Invoice

After transferring the session value to the client’s account, go to the "Financials" tab in the client's profile and click on "Payments." Here, you can verify that the amount was successfully transferred; you'll see an #ACC entry created. From this screen, you can click on the "Invoice number" to access the refund module.

Step 4: Process the Refund

Inside the "Edit Invoice" module, click on the "Options" button in the upper-right corner. From the dropdown menu, select "Refund."

In the "Refund" module, under the "Items" section, choose how much of the amount you want to refund, then select the payment method for the refund. 

In this example, we're refunding $83.33 amount in cash.

In the next pop-up window, click on "Refund Now" to finalize the refund.

Step 5: Verify the Refund

Return to the client's profile, navigate to the "Financials" tab, and click on "Payments." The refund should be listed here, confirming that the process was completed successfully.

By following these steps, you can efficiently process a refund for the remaining sessions of a previously sold package.
