How to Merge Client Records

Duplicate or redundant client records can lead to confusion, errors, and inefficiencies in communication. In this article, we will guide you through the step-by-step process of merging client records.

Step 1: Access the Clients Feature

To initiate the merging process, start by logging into your Pabau account. Once logged in, click on "Clients" in the left sidebar menu, then click on "Clients" again to access the client management interface.

Step 2: Access the Merge Clients Feature

After accessing the client management interface, locate the three dots icon positioned between the search bar and the "Create Client" button in the top right corner. Click on this icon to reveal the "Merge Clients" option and click on it.

Step 3: Review Duplicate Records on the "Manage Duplicate" Page

Upon selecting "Merge Clients," you will be redirected to the "Manage Duplicate" page. Here, a list of duplicate client and lead records will be displayed. These duplicates are automatically generated on a nightly basis and include scenarios where there are two different client records sharing the same first and last name, email, or phone number.

The primary client is positioned on the left side, and the secondary on the right. For each duplicate pair, you will be provided with clients' names, avatars, and emails, along with two options: "Review" and "Reject."

If the two client records do not refer to the same person, you can opt to reject the suggestion by clicking on "Reject." This action ensures that you won't be prompted to merge those two IDs again.

Step 4: Review Duplicate Client Records

To review a duplicate client record, click on "Review." This action allows you to preview both client records. Choose which record you would like to keep by clicking on it. The chosen record will be highlighted with a blue border.

Step 5: Understand the Merging Process and Make a Decision

Beneath the duplicate client records, you will find information outlining the consequences of merging two clients. This includes actions such as:

  • Merging is permanent and cannot be undone.
  • The final client record adopts the email of the contact you decide to keep as its primary email address.
  • Timeline activity (such as appointments and completed medical forms) for both contact records will be available in the final record.
  • The most recent value for each field in the client cards of the contacts will be used in the final record.
  • The secondary contact will be unenrolled from all workflows, such as appointment confirmations and reminders and automations.
  • If the primary contact inherits a property from the secondary contact that was previously included in certain automations, the primary contact may become part of new automations.

The following information will also be migrated to the contact you decide to keep:

  • Client relationships are migrated to the final record.
  • Client cases are migrated to the final record.
  • Client invoices are migrated to the final record.

Step 6: Confirm the Merge

Once you are sure you wish to merge the records, click on "Merge." Note that the record not selected as the final record will automatically be designated as inactive.
