How to Manage Client Marketing Preferences in Pabau

This article explains how marketing opt-ins and opt-outs work in Pabau, how to check and manage a client’s preferences, and why these settings matter for your communications.

Let’s see how client marketing preferences work and how you can check and manage them.

1. What Does Opt-In Mean?

When a client opts in, they give consent to receive marketing communications from your business.

This can include:

  • Newsletters

  • Promotions and special offers

  • Event updates

Clients can opt in automatically when:

  • They select “Agree” to receive marketing messages during online booking

  • They complete a form that includes marketing consent

Opt-ins show that the client wants to hear from your business and allows you to communicate with them safely and legally.

2. What Does Opt-Out Mean?

When a client opts out, they have chosen not to receive marketing communications.

  • They will still receive essential messages, such as appointment confirmations and reminders.

  • They will not receive newsletters, promotional offers, or other marketing messages.

This ensures clients only get communications they’ve agreed to, protecting their privacy and keeping your marketing compliant.

3. How to Check a Client’s Marketing Preferences

There are two ways to view client consent in Pabau.

Client Card
Open the client’s profile and click the bell icon next to their avatar. Under ''Communication Preferences'', you can see:

  • Marketing Promotion - Shows if the client will receive marketing messages via SMS, Email, Phone, or Postal.

  • Need to Know Messages - Indicates if the client will receive essential notifications such as appointment confirmations, reminders, cancellations, or no-show alerts.

  • Privacy Policy - Shows whether the client has accepted your privacy policy.

You can also update these preferences manually if the client wants to change their consent.

Custom Reports
This option is useful for checking consent for multiple clients at once.

To create a report:

  • Go to Analytics → Reports → Create Custom Report

  • Select Clients and choose Start from Scratch

  • Apply the filter “Showing clients where Newsletter Opt-In is active/inactive”

4. Sending Marketing Campaigns or Newsletters

When creating a marketing campaign or newsletter in Pabau, make sure your audience only includes clients who have opted in. To do this, enable the toggle that ensures the newsletter is sent only to clients who have given marketing consent.

Pabau automatically filters your audience based on marketing preferences to help you stay compliant with regulations such as GDPR. This means the newsletter will be delivered only to clients who:

  • Have opted in to receive marketing emails

  • Have opted in for the selected communication channels, such as Email or SMS

By sending campaigns only to clients who have opted in, you avoid reaching those who have opted out, protecting both your compliance and your reputation.

5. Updating Preferences

Clients’ marketing preferences can be updated in a few ways:

  • Client Card: Click the bell icon in the client’s profile to manually adjust their opt-in or opt-out settings.

6. Why Managing Opt-Ins Matters

Properly managing opt-ins and opt-outs helps your business:

  • Protect client privacy

  • Maintain compliance with data protection regulations (e.g., GDPR)

  • Improve engagement by sending messages only to clients who want them

By respecting client preferences, you create a positive experience that strengthens trust and loyalty.

Understanding and managing marketing opt-in and opt-out preferences ensures your communications are compliant, targeted, and respectful of your clients’ privacy.
