How to Generate the Rebooking Rates Report

This article explains how you can generate the rebooking rates report in Pabau.

The Rebooking Rates Report tracks and analyzes the frequency at which clients rebook appointments after their initial visit.

Step 1: Navigate to Analytics

Start by logging into your Pabau account using your login credentials. Then, navigate to the left sidebar menu, where you can find the Analytics tab. Click to expand it, and it will reveal 'Reports.'

Step 2: Generate the Rebooking Rates Report

Under the 'Appointments' section, you will find the Rebooking Rates pre-created report. Click on the report name to continue. 

Step 3: Adjust the Filters

If you want to narrow down your report, you can add and adjust filters to focus on exactly what you need.
Each filter has four elements - object, field, operator, and value.

In the screenshot below, you can see an example of the four elements in the "Rebooking Rates" report.

  • Object: This is what you're focusing on ("Appointment").
  • Field: This is the specific detail you're interested in ("Appointment Date").
  • Operator: This shows how the field relates to the value ("is").
  • Value: This is the specific data you’re looking at ("this month").

Each of these elements can be customized by clicking on them and choosing a different option.

For example, to view all rebooked appointments for this year, change the value to "this year" to include them.

This example shows just a few options. The system has many filters you can mix and match to create detailed, customized reports.

NOTE: All of the changes made to the filters will be automatically reflected in the report data in the lower section of the screen. If you wish to refresh the data, click on the "Run" button in the top right corner of the screen. 

Step 4: Add, edit, and delete filters 

To add a filter, click the plus sign below the existing filter, and fill in the new filter details.

To edit a filter, find the filter you want to edit, click on the element you wish to change, select a different option from the dropdown menu, and then save the modifications.

To delete a filter, hover over the filter to delete and click the "X" sign.

Step 5: Review the Data

Once you've adjusted the filters, you can view the data in a pie chart and list view. The pie chart can be filtered to show the rebooked appointments, appointment statuses, locations, and more. 

In the measure by field, you can filter the data to show the number of appointments, the duration of the appointments and service value. 

If you scroll down, you'll see the list view. The list view, displays all the data regarding rebooked appointments and add additional columns for more specific details to be shown. 

Some of the columns include:

Appointment date: it shows the date when the appointment is booked for 

Rebook: shows if the appointment has been rebooked by the client

Service: shows the service name that was booked for the appointment 

Client Name: shows which client booked the service

Appt. With: shows which staff member has performed the service booked

Appointment Location: shows the in which location the service is booked at

Step 6: Export the Data

To export the data from this report, simply click on the three dots on the top right side of the screen to reveal the 'Export' button. 

Once you click Export, a window will pop up, and you can choose to export the data as an Excel or CSV file.

By following these steps, you can easily generate the rebooking rates report.
