This article explains how you can generate consultation conversion reports in Pabau.
A Consultation Conversions report tracks the effectiveness of consultations in converting prospects into paying clients. It tracks the number of consultations you've had, how many of those led to a client booking or making a purchase, and calculates the percentage of consultations that were successful.
Step 1: Navigate to Analytics
Start by logging into your Pabau account using your login credentials. Then, navigate to the left sidebar menu, where you can find the Analytics tab. Click to expand it, and it will reveal 'Reports.'
Step 2: Generate the Consultation Conversions Report
Under the 'Appointments' section you will find the Consultation Conversions pre-created report. Click on the report name to continue.
Step 3: Adjust the Filters
If you want to narrow down your report, you can add and adjust filters to focus on exactly what you need.
Each filter has four elements - object, field, operator, and value.
In the screenshot below, you can see an example of the four elements in the "Consultation Conversions" report.
- Object: This is what you're focusing on ("Appointment").
- Field: This is the specific detail you're interested in ("Appointment date").
- Operator: This shows how the field relates to the value ("is").
- Value: This is the specific data you’re looking at ("this month").
Each of these elements can be customized by clicking on them and choosing a different option.
For example, if you want to view all appointments except those scheduled for this month, you can change the operator to "is not" to exclude them.
If you want to see all appointments for a specific location during a different time frame, such as last month, last quarter, or any other period, click on the current value (e.g., "this month"). You'll then be able to choose from a list of available options to set your desired time frame.
These examples show just a few options. The system has many filters you can mix and match to create detailed, customized reports.
NOTE: All of the changes made to the filters will be automatically reflected in the report data in the lower section of the screen. If you wish to refresh the data, click on the "Run" button in the top right corner of the screen.
Step 4: Check Consultation Status
The information that is pulled from the consultation conversion report is divided into three categories:
Lost: If a client has a consultation booking and has less than 20$ in sales within 45 days of the booking.
Open: If a client has a consultation booking and has the status as a no-show or canceled.
Won: If a client has a consultation booking and has more than or equal to $20 in sales within 45 days of the booking.
Step 5: Review the Pie Chart
Once you've added the filters, the data will be displayed in a pie chart view and lift view. You can segment the data to show the clients who booked appointments after their consultations, the team with whom the appointments were booked, the location where the appointments were booked, the services that were booked, which staff member booked the appointments, and more.
You can also choose to measure the data by the number of appointments booked after a consultation, their duration, and service value.
Step 6: Review the List
In the list view, all the data will appear below, where you can add additional columns for more specific details. By clicking 'Edit Columns,' you'll see various options you can add to display the data you need.
Some of the columns include:
Appointment date/time: to view when the appointment was booked for
Client name: to be able to see the name of the client, and through which you can access the client card
Email: to view the client's email
Labels: to be able to see if the client has any labels. To view more information regarding client labels, review this article
Total appointments: to view the total number of appointments that the client had
Total sales: to view the total amount the client has spent
After selecting any additional columns, click "Save" so that they will appear on the list. You can also deselect options that are currently included in the columns.
Step 7: Add, edit, and delete filters
To add a filter, click the plus sign below the existing filter, and fill in the new filter details.
To edit a filter, find the filter you want to edit, click on the element you wish to change, select a different option from the dropdown menu, and then save the modifications.
To delete a filter, hover over the filter to delete and click the "X" sign.
Step 8: Export the Data
To export the data from this report, simply click on the three dots on the top right side of the screen to reveal the 'Export' button.
Once you click Export, a window will pop up, and you can choose to export the data as an Excel or CSV file.
