# How to Create SMS Templates

## This article provides a guide on creating SMS templates in Pabau, enabling you to streamline your communication strategies.

SMS templates save the text messages your team sends most often, such as appointment reminders, follow-ups and aftercare check-ins, so they can be sent in a few clicks. Merge tags fill in each client’s own details when the template is used.

**Step 1: Start a New SMS Template**

1. Go to **Setup** ▸ **Marketing & Communication** ▸ **Communications** ▸ **Templates** and click **Create Template** in the top right.
2. In **Select template type**, choose **SMS**. The **Create SMS template** editor opens.

**TIP:** Want to start from a ready-made message? Click **Choose template** on the Templates page to browse templates shared by the Pabau community.

**Step 2: Name the Template and Write the Message**

1. **Template name**: the name your team will see when picking a template, for example “Appointment reminder”.
2. **Group**: keeps your templates organised. New templates go into **General** unless you choose another group.
3. **Message**: type the text of the SMS. Messages are plain text, so there is no formatting.
4. Check the length. The counter under the message shows the number of characters, and the badge shows how many SMS the message will probably use, for example **1 SMS estimated**. Longer messages are split into more than one SMS.

**NOTE:** The final length can change when the template is used, because merge tags are replaced with real details. Emoji and special characters can also use more SMS.

**Step 3: Personalise It With Merge Tags**

Click in the message where the detail should go, then click **Merge tags** under the message box.

1. Pick a category on the left (such as Clients, Appointment, Company or Staff), or type in **Search across all categories…**
2. Click a tag to insert it at your cursor. Each tag shows what it fills in and a fictional example.

Tags appear in the message in square brackets, for example **\[APPOINTMENTFIRSTNAME\]**. When the template is sent, each tag is replaced with the client’s own details.

**Step 4: Check the Preview**

1. The **Live preview** on the right shows your message as a text message while you type. Merge tags stay as tags in the preview, because it shows the template without any client data.

**Step 5: Test and Save the Template**

1. Optional: click **Send Test SMS** to send the message to the mobile number on your own staff profile. The button stays greyed out until you add your mobile number in your account settings and your clinic has an SMS sender set up.
2. Click **Create template**. The template is saved to the **SMS** tab, ready to use.

The footer shows **Unsaved changes** while you edit. If you click **Cancel** with unsaved changes, Pabau asks **Discard your changes?**: choose **Keep editing** to go back, or **Discard changes** to close without saving. If a save fails, your text stays in the editor so you can try again.

**NOTE:** To change a template later, open it from the **SMS** tab. The same editor opens as **Edit SMS template**, with a **Save changes** button.
