How to Create Aftercare Email Templates

In this article, we'll guide you through the process of creating aftercare email templates and linking them with services so they are automatically sent to clients after their appointments.

Step 1: Access the Templates Section

Log into your Pabau account. In the left sidebar menu, click on Setup. Under Marketing & Communication, select Communications, and then choose Templates.

Step 2: Create a New Template

On the Templates page, you will see all of your previously created templates. To create a new template, click on Create Template in the top right corner. Select Email as the type of template.

Step 3: Set Up Template Details

In the name field, enter the name of the template. This is for internal use only. In the next field, choose 'aftercare' as the template type. This will allow you to select the services the aftercare template is related to in the next step.

Step 4: Link Services to the Template

In the related services field, select all of the services from the dropdown menu that this template should apply to.

Step 5: Compose the Email

In the subject field, enter the subject of the email that your clients will receive. You can personalize the subject line by adding personalization tags, also known as merge tags, which automatically fill in client-specific information such as their name, using the tag icon:

Use the text editor to write the aftercare instructions. You can enhance the email by using merge tags, for example, to add specific client or business details, such as location:

Step 6: Save the Template

Once you've finished writing your template, click on Save Template. Now, whenever an appointment for a related service is marked as complete, or an invoice is raised for that service, the client will automatically receive the aftercare email.

Step 7: Unlink Services (Optional)

To unlink a service from the template, go back to the template and uncheck the specific service from the related services dropdown.

Alternatively, you can open the service’s editing modal under the Services feature, go to the Client Pathway tab, and remove the associated template from the After section by clicking the trash bin icon. Save your changes to complete the process.
