How to Create a New Referral

This article explains how to create and send a professional referral letter directly from a client’s profile in Pabau.

Use this feature to refer patients to GPs, specialists, or other healthcare providers while keeping a clear audit trail and maintaining consistent communication across your clinic.

Step 1: Navigate to the client card

Start by logging into your Pabau account using your login credentials. Search for the client you wish to refer by typing their name, phone number, or email in the top search bar. Click on their name to open the client card.

Step 2: Click “New Referral”

Next to the client’s avatar/profile picture, click on the "New Referral" button. This will open a referral form where you can enter all the details needed to send the referral.

This is a digital version of a referral letter and can be used to communicate with external specialists, GPs, or other providers

Step 3: Fill in the referral details

You'll now see a form pre-filled with client information under Patient Demographics (name, contact info, etc.). Below that, complete the remaining required fields:

• From: Your name and clinic email (auto-filled)

• To: Enter the recipient’s name, email, and phone number

• Instructions: Add any relevant clinical instructions or notes

• Reason for referral: Briefly explain why you are referring the client

• Referral Summary: Toggle which client data to include (e.g., medications, past appointments, photos, notes)

You can also insert a letter using the Insert Letter button if your clinic uses templates.

Step 4: Choose how to finalize the referral

Once all the fields are completed, you can:

• Preview the referral using the button in the top right corner

• Save it for later by clicking "Save"

• Send it immediately by clicking "Send"

The referral will be sent via email to the contact you specified in the “To” section, and a copy will be saved under the client’s profile.

Use referrals to standardize communication with external providers, reduce admin, and keep a full audit trail tied to the client record. This is especially helpful for follow-up care, specialist referrals, or collaborative care programs.
