Customizing your invoice templates ensures your business presents clear, professional documentation while showing only the information you want clients to see. In Pabau, you can easily add or remove custom fields from your invoice headers to suit your workflow.
Step 1: Access Invoice Templates
Start by logging into your Pabau account. From the left-hand menu, navigate to Setup, then scroll to the Financials section and click on "Invoice Templates".
You’ll see a default invoice template already created. You can either:

Click on an existing template to edit it, or

Click “New Invoice Template” in the top right corner to start from scratch.

Step 2: Add Custom Fields from the Header Tab
Once inside the invoice template editor, select the Header tab at the top of the screen.
This is where you can choose which custom fields appear on your invoice.

In the Customer section, you’ll find several client-related options:

Payment method

Appointment date

Authorisation code

Customer ID

Client Address
-
Next of Kin
-
Laser Treatment Preference

Specific Skin Condition / Goal

Primary Care Physician Name

Primary Care Clinic Name

Emergency contact

Assigned Doctor

Client alerts

In the Employee section, you can choose to display:

Name of the employee who raised the invoice

You can check or uncheck any of these options to control what’s shown on your invoices.
As you make changes, a live preview on the right-hand side will update in real-time—so you can see exactly how the final invoice will look.
Step 3: Save Your Changes
Once you’re happy with the selected fields and appearance, click:

"Create" (if you're setting up a new template), or

"Save" (if editing an existing one)
Your updated template will now be available when generating invoices for clients.
