How to Add Auth Code in Client Card

In this article, you will learn what an authorization code is, when it’s used, and how to add it to a client case in Pabau.

Authorization codes are typically provided by insurers or third parties and act as proof of treatment approval. Adding them to a case helps with accurate billing, reporting, and treatment tracking.

What Is an Authorization Code?

An authorization code is a unique reference number provided by an external organization—such as an insurance company, employer, or legal entity—that verifies the client is eligible to receive specific treatments or services.

This code:

  • Confirms that treatment has been pre-approved

  • Is often required for billing or reimbursement

  • Can be referenced during audits or reporting

When Should You Add an Authorization Code?

You should enter an authorization code any time a third party is responsible for the client’s treatment, including:

  • Insurance-covered services

  • Employer-paid consultations or treatments

  • Legal or medical referrals requiring approval

If the treatment is private and not linked to any external provider, you can leave the authorization code field blank.

How to Add an Authorization Code

Step 1: Open the Client Card

You can search for and open the client profile from the top search bar in your Pabau account.

Step 2: Create a New Case

Click on the "+ Add" button under the Case Details section.

Step 3: Add Third Party Details

If the treatment is covered by a third party (like an insurer), select the organization and input any relevant reference information.

Step 4: Enter the Authorization Code

Below the Case Title field and above Appointments, you will see the Authorization Code field.
Enter the code exactly as it was issued by the third party.

Once saved, the authorization code will be displayed in the Case Details section and will be visible in both the overview and the edit screen.

Step 5: Complete and Save the Case

Fill out any additional information—like appointments, max sessions, or attachments—then click "Create" to save the case.
