How Clients Can Pay With Insurance When Booking Online
In this article, you’ll learn how clients can pay for their appointments using insurance in Pabau — whether the insurance covers the full service cost or only part of it. Clients can select this option during the online booking process, as long as their insurance is already linked to their profile in Pabau.
Conditions for Allowing Insurance Payments Online
Before clients can choose insurance as their payment method during online booking, ensure the following:

The client’s insurance is linked to their profile, including provider, policy/membership number, and any other relevant details.

The insurance provider is added in your system.

Step 1: Navigate to Your Online Booking Portal
Access your online booking portal to get started with the process. You can either access it by clicking on the Book Now button from your website, or you will be able to locate the portal link in your Pabau account in the Online Booking tab.
Step 2: Select a Service
On the online booking page, clients can select a service category to view the available services or use the search bar to find the service they want to book. Once you find the service, select it and click ''Next'' at the bottom right to proceed.
Then, select a location if multiple locations are available, and choose a staff member if that option is provided. If not, you will be redirected directly to the calendar to select a date and time.
Step 3: Proceed with Payment
After selecting the date and time, click ''Proceed to Payment''.
On the payment screen, select ''Pay with Insurance'' as the payment method and then click on ''Pay Now'' to proceed.
After this, a window will appear showing the Insurance Details. This includes:

Company Name: The client’s insurance company. In most cases, this is automatically filled based on the insurance linked to their Pabau profile.

Membership Number: Also pre-filled from the client’s profile.

Authorization Code: This must be provided by the insurance company. The client or clinic needs to enter this code manually.
Once you add the code, click ''Save'' to proceed. A confirmation message will appear, indicating that the insurance details have been added successfully.
After the insurance details are saved, the appointment will appear in the client’s card, showing the service, date and time, and listing the insurance company as the payor. For online bookings, a note will also confirm it was booked via the online portal.
By following these steps, clients can easily pay for an appointment using their insurance.
