Upcoming Renewals Report

In this article, we'll explain what the Upcoming Renewals report shows, how to find it, and how to read it.

Upcoming Renewals is a forward-looking view of every recurring membership that's scheduled to bill in the next 90 days.

It answers three questions at a glance: how much renewal revenue is coming in, and when; which renewals need a human to step in, because the last payment failed; and which members and plans are renewing this week, so the team can prepare. 

NOTE: One-off/non-recurring memberships don't appear here — only memberships set to repeat (weekly, monthly, quarterly, yearly, etc.). Suspended, expired, and cancelled memberships are also excluded automatically. 

How to find it

Step 1: Navigate to the Analytics Feature

Log in to your Pabau account, and in the left sidebar menu, go to Analytics, then click on the "Reports" button.

Step 2: Access the reports banner

On the "Try our new suite of reports" banner, click Try it now.

Once you're in the new reports view, go to the Memberships section then scroll to the "Growth & Lifecycle'' group and click on Upcoming renewals to open the report.

Toolbar controls

  • Location – Limits the report to memberships sold at one or more locations. Leave it on "All" to see everything.
  • Plan – Limits the report to one or more specific membership plans.
  • Payment Status – Filters by renewal readiness: Ready (the member's last payment went through, so this renewal should bill automatically) or Last failed (the most recent payment attempt was declined or refunded, so this one may not go through).
  • Export – Downloads the current table, with whatever filters are applied.
  • Print – Laid out in landscape so the full table fits.
  • Help – Opens an in-app explanation of the report and every column.

NOTE: Filters stack together. So if you set Location to Manchester and Payment Status to Last failed, you'll only see the renewals that match both — at-risk renewals for Manchester specifically, not everything else. 

Understanding the report

The KPI cards

Four headline cards summarize the whole company, or whatever filters are applied. Each shows a count and the expected revenue beneath it.

Card What it counts
Due in 7 Days Renewals billing within the next week.
Due in 30 Days Renewals billing within the next month.
Due in 90 Days Renewals billing within the next quarter.
At Risk Renewals where the last payment failed — these may not bill automatically.

NOTE: The 7/30/90 cards overlap — a renewal due in 5 days is counted in all three. Think of them as "within this window," not separate buckets. For example, "Due in 30 Days: 42 — £6,300 expected" means 42 memberships are scheduled to renew in the next month, totaling £6,300 if they all bill successfully.

Renewal calendar — next 90 days

A heatmap showing renewal volume day by day. Each cell is one day, showing the number of renewals and the expected revenue for that day. Darker cells mean busier days, making spikes easy to spot. A ⚠ symbol with a number means some of that day's renewals are at risk (last payment failed), today is marked with a label, and hovering a cell shows the exact count and revenue.

For example, seeing a dark cell with "⚠ 3" two weeks out flags a heavy renewal day with three at-risk members, so you can schedule outreach in advance.

The side cards

  • Needs attention – a count of members whose renewal may not go through automatically, currently meaning their most recent payment failed. Use this as your proactive outreach list. Note: right now, "at risk" specifically means the last payment attempt failed or was refunded. It doesn't yet flag things like an expired card or a missing payment method, so treat it as a strong signal rather than the complete picture.
  • This week (by plan) – the top membership plans renewing in the next 7 days, with a count per plan, so you can see which tiers are coming up. For example, "Gold 8 · Silver 5 · Bronze 2" tells you most of this week's renewals are higher-tier members worth prioritizing.

The 7/30/90 day toggle

Above the table, a switch lets you choose Next 7 days / Next 30 days / Next 90 days, setting how far ahead the table below looks. The label beside it (e.g. "42 renewals") shows how many rows match your current selection.

The table

Each row is one upcoming renewal.

Column What it shows Notes / example
Renewal Date The next scheduled billing date, plus a friendly label like "Tomorrow" or "In 4 days." Calculated from the membership's start date and how often it repeats.
Client The member's name; click to open their profile.  
Membership Code The system's unique identifier for that membership record. A reference number, not a marketing/plan code.
Plan The plan that will renew, with its colour dot. e.g. "Gold Skincare."
Location Where the membership was originally sold. Shows "—" if no sale location is recorded.
Tenure How long the member has been signed up, in months. e.g. "14 mo."
Cycle Which billing cycle is about to begin. "Cycle 3" = their third renewal period.
Status Renewal readiness. Ready (green) = last payment succeeded. Last failed (red) = most recent attempt was declined or refunded.
Amount What the plan is priced at for this renewal. This is the plan's set price.

Example workflow: set the toggle to Next 7 days, set Payment Status = Last failed, then sort by Amount (high to low) to get this week's at-risk renewals ranked by value — the most important members to call first.

With this understanding, you can confidently use the Upcoming Renewals report to see what's coming in, spot at-risk renewals early, and prioritize your outreach.
