Individual Permissions for a Staff Member

This article explains how you can enable or disable permissions for an individual staff member in your Pabau account, covering each permission category.

 


 

How to Set Setup Permission for a Staff Member

Step 1: Navigate to Team

Start by logging into your Pabau account using your login credentials. Then, navigate to the "Team" tab located on the left sidebar menu. Click to expand it and click the "Team" sub-tab.

Step 2: Access Staff Member Profile

On this page, you will see all your active staff members listed under the "People" tab. To access a staff member's profile, click on their name or profile picture.

Step 3: Open Permissions

On the staff member's profile, click on "Permissions" in the left-hand menu. This opens a view showing exactly what that individual staff member is allowed to do in Pabau, along with a summary of how many permissions are currently allowed and how many are marked as "sensitive."

Step 4: Locate the Setup Category

On the left side of the Permissions page, click on "Setup" to jump straight to that category. It shows how many of its permissions are currently on, along with how many are sensitive.

"Can delete forms" is marked Sensitive, since it permanently removes medical forms from the Forms page, so it's worth reviewing this carefully before enabling it.

Step 5: Enable or Disable Setup Permissions

The Setup category includes the following individual permissions:

  • Can access the Setup page – Will be able to access the Setup page.
  • Can access the Forms page – Will be able to access the Forms page.
  • Can create forms – Will be able to create medical forms on the Forms page.
  • Can delete forms – Will be able to delete medical forms on the Forms page. (Sensitive)
  • Can edit forms – Will be able to modify medical forms on the Forms page.

Each permission has its own "Allowed" toggle, which you can switch on or off independently. Alternatively, use the quick actions next to the category header to apply a change to every permission in this category at once:

  • Allow basics – Applies a recommended baseline set of permissions for this category.
  • All on – Enables every permission in this category.
  • All off – Disables every permission in this category.

A few things to be aware of:

  • These permissions apply only to this individual staff member, not their role — changing them here won't affect anyone else, even if they share the same role.
  • If you'd rather apply a consistent set of permissions across multiple staff members at once, it's easier to set them at the role level instead.

Step 6: Save Your Changes

Once you're happy with your changes, click "Save changes" in the top right corner of the screen.

Step 4: Locate the Leads Category

On the left side of the Permissions page, click on "Leads" to jump straight to that category. It shows how many of its permissions are currently on (e.g. "7/7").

"Can delete leads" is marked Sensitive, since it permanently removes a lead, so it's worth reviewing carefully before enabling it.

Step 5: Enable or Disable Leads Permissions

The Leads category includes the following individual permissions:

  • Can access leads page – Will be able to access the Leads page.
  • Can create leads – Will be able to create leads.
  • Can edit leads – Will be able to modify details of existing leads.
  • Can delete leads – Will be able to remove leads. (Sensitive)
  • Can mark leads as won – Will be able to mark a lead as won.
  • Can mark leads as lost – Will be able to mark a lead as lost.
  • Can access pipeline page – Will be able to access the pipelines page.

Each permission has its own "Allowed" toggle, which you can switch on or off independently. Alternatively, use the quick actions next to the category header to apply a change to every permission in this category at once:

Step 4: Locate the Money Category

On the left side of the Permissions page, click on "Money" to jump straight to that category. It shows how many of its permissions are currently on, along with how many are sensitive.

"Can void sales," "Can refund payments," "Can override prices," "Can delete quotes," and "Can edit item tax" are all marked Sensitive, since they involve financial actions that directly affect revenue, pricing, or billing, so it's worth reviewing these carefully before enabling them.

Step 5: Enable or Disable Money Permissions

The Money category includes the following individual permissions:

  • Can access invoices page – Will be able to access the Money page and view a list of invoices, payments, and credit notes.
  • Can void sales – Will be able to void invoices. (Sensitive)
  • Can edit invoices – Will be able to adjust invoices.
  • Can refund payments – Will be able to refund payment to the clients. (Sensitive)
  • Can access payments page – Will be able to access the payments page.
  • Can access appointments page – Will be able to access the appointments page.
  • Can access sales history page – Will be able to access the items page.
  • Can create an invoice – Will be able to create an invoice.
  • Can override prices – Will be able to override a price. (Sensitive)
  • Can access wallet – Will be able to access the wallet.
  • Can access remittance page – Will be able to access the remittance page.
  • Can access paylinks page – Will be able to access the paylinks page.
  • Can access the quotes page – Will be able to access the quotes page.
  • Can create quotes – Will be able to create new quotes (from the client card and quotes page).
  • Can edit quotes – Will be able to edit already created quotes (i.e. open the recall-and-edit button).
  • Can delete quotes – Will be able to delete created quotes. (Sensitive)
  • Can view quotes – Will be able to view quotes in the client card.
  • Can edit item tax – Will be able to edit the tax of the quote items. (Sensitive)
  • Can create Credit Notes – Will be able to issue credit notes.
  • Can create custom packages – User will be able to create custom packages on POS.
  • Can access Smart Pricing – Will be able to view, add, edit, and delete Smart Pricing rules.

"Can delete an automation folder," "Can delete an automation," and "Can delete loyalty campaigns" are all marked Sensitive, since they permanently remove marketing content, so it's worth reviewing these carefully before enabling them.

Step 5: Enable or Disable Marketing Permissions

The Marketing category includes the following individual permissions:

  • Can access broadcasts page – Will be able to access the Broadcasts page and view campaign data, create new campaigns, and more.
  • Can access reviews page – Will be able to access the Reviews page and see all the reviews left by clients.
  • Can access gift vouchers page – Will be able to access the Gift Vouchers page.
  • Can access automations page – Will be able to access the Automation page and see statistics regarding all automations.
  • Can create an automation folder – Will be able to create a folder for automations.
  • Can edit an automation folder – Will be able to edit an automation folder.
  • Can delete an automation folder – Will be able to delete an automation folder. (Sensitive)
  • Can create an automation – Will be able to create an automation.
  • Can edit an automation – Will be able to edit an automation.

  • Can access loyalty page – Will be able to access the Loyalty page and see statistics regarding all loyalty campaigns.
  • Can customize Loyalty points value – Will be able to adjust the value of loyalty points.
  • Can create a loyalty campaign – Will be able to create a new loyalty campaign.
  • Can edit loyalty campaigns – Will be able to edit a loyalty campaign.
  • Can delete loyalty campaigns – Will be able to delete a loyalty campaign. (Sensitive)
  • Can view all Earning points – Will be able to access the Earning Points page.
  • Can access the Workflows page – Will be able to access the Workflows page.
  • Can access referrals page – Will be able to access the Referrals page.
  • Can set up referral campaign – Will be able to set up the referral campaign and change its status.

  • Can modify product – Will be able to modify products (e.g. change name, price, and more).
  • Can disable products – Will be able to disable products.
  • Can perform inventory count – Will be able to perform an inventory count and adjust products' quantity.
  • Can create orders – Will be able to make purchase orders via the Purchase Order page.
  • Can access orders page – Will be able to access the Orders page.

  • Can edit shifts – Will be able to adjust shifts for staff members in the Scheduler.

  • Can access the commissions page – Will be able to access the commissions page and view commission groups.

  • Can cancel appointments – Will be able to cancel appointments in the calendar.
  • Can reschedule appointments – Will be able to reschedule appointments in the calendar.
  • Can edit blockout slots – Will be able to edit, or reschedule blockouts in the calendar.
  • Can cancel blockout slots – Will be able to cancel blockouts in the calendar.
  • Can edit calendar settings – Will be able to edit calendar settings.
  • Can reschedule blockouts – Will be able to reschedule blockouts.
  • Can view everybody's calendar – Will be able to view all calendars, other than their own.

How to Set Dashboard Permission for a Staff Member 

Step 1: Navigate to Team

Start by logging into your Pabau account using your login credentials. Then, navigate to the "Team" tab located on the left sidebar menu. Click to expand it and click the "Team" sub-tab.

Step 2: Access Staff Member Profile

On this page, you will see all your active staff members listed under the "People" tab. To access a staff member's profile, click on their name or profile picture.

Step 3: Open Permissions

On the staff member's profile, click on "Permissions" in the left-hand menu. This opens a view showing exactly what that individual staff member is allowed to do in Pabau, along with a summary of how many permissions are currently allowed and how many are marked as "sensitive."

Step 4: Locate the Dashboard Category

On the left side of the Permissions page, click on "Dashboard" to jump straight to that category. It shows how many of its permissions are currently on (e.g. "2/2").

NOTE: You can also use the search bar above this list to search for "Dashboard" directly.

Step 5: Enable or Disable Dashboard Permissions

The Dashboard category includes two individual permissions:

  • Can access home page – Will be able to access the home page.
  • Company Dashboard – Will be able to see the full dashboard with all the company data.

Each permission has its own "Allowed" toggle, which you can switch on or off independently. Alternatively, use the quick actions next to the category header to apply a change to both permissions at once:

  • All off – Disables both permissions in this category.

  • Can create leads – Will be able to create leads.
  • Can edit leads – Will be able to modify details of existing leads.

  • Can mark leads as won – Will be able to mark a lead as won.
  • Can mark leads as lost – Will be able to mark a lead as lost.
  • Can access pipeline page – Will be able to access the pipelines page.
