Role Permission - Dashboard, Calendar, Team, and Leads

In this article, we'll cover everything you need to know about roles permissions, including how to manage Dashboard, Calendar, Team, Leads, Clients, Analytics, Inventory, Marketing, and Setup permissions.


    Dashboard Permissions 

    Step 1: Navigate to Roles

    Log in to your Pabau account, and in the left sidebar menu, click on "Team" to expand it, then click on "Team" again from the submenu.

    This opens the Team page, showing four tabs: People, Roles, Teams, and Visibility. Click on the "Roles" tab.

    Step 2: Open the Dashboard Category

    Find "Dashboard" in the Feature Name column and click the arrow beside it to expand the category. This reveals its two individual permissions, "Can access home page" and "Company Dashboard," listed as separate rows underneath.

    Each checkbox in the table turns that permission on or off for that role. Ticking the "Dashboard" row enables both permissions at once, while ticking an individual row like "Company Dashboard" only affects that one.

    NOTE: The "Owner" role's checkboxes appear greyed out, since the Owner role always has full access and can't be restricted.

    Step 3: Understand What Each Permission Does

    • Can access home page – When enabled, the staff member can access the Home page in Pabau — the landing page shown after logging in, which includes daily overview widgets, frequently visited shortcuts, and helpful resources. If disabled, the staff member won't be able to open this page at all.
    • Company Dashboard – When enabled, the staff member can see the full Company Dashboard, including all company-wide data. This gives visibility into overall clinic performance rather than just their own activity. If disabled, this broader view is hidden from them.

     A few things to be aware of:

    • Permissions apply to the role, not the individual — so if you set a permission for the Receptionist role, every staff member with that role gets the same access.
    • If you don't see the right role for what you're setting up, you can create a new one and set its permissions from scratch.

    By following these steps, you can control exactly what dashboard-level access each role has in Pabau.


     

    Calendar Permissions

     

    Why do you need calendar permissions?

    You may want your front-of-house team to book and amend appointments, but only your clinic manager to edit calendar settings.

    Or you might want your clinic manager to have oversight of every staff calendar, while your staff only see their own. 

    Step 1: Navigate to Roles

    Log in to your Pabau account, and in the left sidebar menu, click on "Team" to expand it, then click on "Team" again from the submenu.

    This opens the Team page, showing four tabs: People, Roles, Teams, and Visibility. Click on the "Roles" tab.

    Step 2: Open the Calendar Category 

    Find "Calendar" in the Feature Name column and click the arrow beside it to expand the category. This reveals its individual permissions, listed as separate rows underneath.

    Each checkbox in the table turns that permission on or off for that role. Ticking the "Calendar" row enables all of its permissions at once, while ticking an individual row only affects that one.

    NOTE: The "Owner" role's checkboxes appear greyed out, since the Owner role always has full access and can't be restricted. 

     Step 3: Understand What Each Permission Does

    • Can access calendar page – Allows the staff member to open the Calendar at all. If disabled, they won't be able to view the Calendar page in the first place.
    • Can book appointments – Allows the staff member to create new appointments on the Calendar.
    • Can create blockouts – Allows the staff member to add blockout slots (e.g. breaks, holidays, or unavailable time) to the Calendar.
    • Can edit appointment details – Allows the staff member to change the details of an existing appointment, such as the service, staff member, or notes.
    • Can cancel appointments – Allows the staff member to cancel an existing appointment.
    • Can reschedule appointments – Allows the staff member to move an appointment to a different date or time.
    • Can edit blockout slots – Allows the staff member to change the details of an existing blockout.
    • Can cancel blockout slots – Allows the staff member to remove an existing blockout.
    • Can edit calendar settings – Allows the staff member to access and change the Calendar's configuration settings.
    • Can reschedule blockouts – Allows the staff member to move a blockout to a different date or time.
    • Can view everybody's calendar – Allows the staff member to see all staff members' calendars, rather than only their own.

    If any of these are disabled, the staff member simply won't be able to perform that specific action on the Calendar.

     A few things to be aware of:

    • Permissions apply to the role, not the individual — so if you set a permission for the Receptionist role, every staff member with that role gets the same access.
    • If you don't see the right role for what you're setting up, you can create a new one and set its permissions from scratch.

     

    Team Permissions

       

    Why do you need team permissions?

    Team-level actions like editing staff details, managing shifts, or adjusting other people's permissions can affect the whole clinic, so these permissions help ensure only trusted staff members like managers or owners to make those changes. 

    Step 1: Navigate to Roles

    Log in to your Pabau account, and in the left sidebar menu, click on "Team" to expand it, then click on "Team" again from the submenu.

    This opens the Team page, showing four tabs: People, Roles, Teams, and Visibility. Click on the "Roles" tab.

    Step 2: Open the Team Category

    On the Roles page, you'll see a "Features" table listing every permission category down the left side, with each of your roles shown as its own column.

    Find "Team" in the Feature Name column and click the arrow beside it to expand the category. This reveals its individual permissions, listed as separate rows underneath.

    • Can invite staff members – Allows the staff member to invite new staff members to join the account.
    • Can adjust staff members details – Allows the staff member to edit another staff member's details.
    • Can remove staff members – Allows the staff member to remove a staff member from the account.
    • Can manage user permissions – Allows the staff member to edit the permissions assigned to an individual user.
    • Can create shifts – Allows the staff member to create new shifts for staff.
    • Can edit shifts – Allows the staff member to edit existing shifts.
    • Can remove shifts – Allows the staff member to delete existing shifts.
    • Can access the commissions page – Allows the staff member to open the Commissions page.

    If any of these are disabled, the staff member simply won't be able to perform that specific action.

    Leads Permissions

     

    Why do you need leads permissions?

    Not every staff member needs to manage the sales pipeline, so these permissions let you restrict lead handling to sales or reception staff, while keeping other roles focused on their own areas.

    Log in to your Pabau account, and in the left sidebar menu, click on "Team" to expand it, then click on "Team" again from the submenu.

    On the Roles page, you'll see a "Features" table listing every permission category down the left side, with each of your roles shown as its own column.

    If any of these are disabled, the staff member simply won't be able to perform that specific action.

    These are useful when setting up a new role, letting you start from a sensible default rather than ticking each permission individually.

    By following these steps, you can control exactly what leads-level access each role has in Pabau.
