They give a detailed overview of your business, helping with planning and improvement. In Pabau, reports provide information about clients, leads, appointments, sales, staff performance and more. This guide shows you how to open and adjust a standard report, save your own copy, manage your custom reports, and favourite, export and share them. **Table of Contents:** [1. In the left sidebar, hover over **Analytics** and click **Reports**. Click a category tab — **Featured**, **Clients**, **Sales & Finance**, **Appointments** and so on — or type the report's name in **Search for a report**. 2. Click the report to open it. Each has its own guide; see [New Suite of Reports](https://support.pabau.com/en/pabau2/new-suite-of-reports?hsLang=en) for the list. The steps below cover the standard reports, which open in the report viewer shown here. **Step 3: Customise Filters** Each filter has four elements — **object, field, operator, and value**. In the "Appointments by Location" report: 1. **Object**: what you're reporting on ("Appointment"). 2. **Field**: the detail you're filtering by ("Appointment Date"). 3. **Operator**: how the field relates to the value ("Is in"). 4. **Value**: the data you're looking for ("This Month"). ![A report filter with its object, field, operator and value marked](https://support.pabau.com/hubfs/Pabau%202%20Knowledge%20Base/kb/gap-2026-10/250964893907-03-filter-elements.png) *Object, field, operator and value* Click any element to change it. For example, to see last month's appointments instead: 1. Click the value ("This Month") and pick another period, such as **last month**. 2. To add a filter, click **Add filter** and choose the field, operator and value. 2. To delete a filter, click the **X** at the end of it. 3. Click **Run** to apply your changes. **Run** stays greyed out until you change a filter ("Change a filter to enable Run"). ![The Add filter button, the delete X and the Run button marked](https://support.pabau.com/hubfs/Pabau%202%20Knowledge%20Base/kb/gap-2026-10/250964893907-05-add-remove-run.png) *Change the filters, then click Run* **TIP:** The padlock beside a filter (**Lock filter**) fixes it in place: a locked filter can't be removed, its field and operator can't be changed, and no other filters can be added while it's locked. A locked date filter still lets you pick a different period. **Step 5: Edit Columns** 1. Below the chart, click **Edit Columns**. 2. Tick the columns you want in the table and untick the ones you don't. Use **Search columns** to find one quickly; **Default** puts the report's own columns back. 3. Changes you make to a standard report aren't saved to it. To keep them, save your own copy (next section). ### How to Save a Standard Report as a Custom Report Standard reports can't be changed for everyone, but you can make your own copy and adjust it as much as you like. **Step 1: Clone the Report** 1. Open the standard report and click the three dots (**More options**) at the top right. 2. Click the report name to rename it, and edit the description under it if you like. 2. Choose a folder to keep it in, or leave it on **No folder**. 3. Click **Manage Access** to decide who else can open it (see [How to Edit a Report](https://support.pabau.com/en/pabau2/reports#how-to-edit-a-report)). 4. Click a report's name to open it. Reports that colleagues have shared with you are under **Shared with me**. **TIP:** When you open one of your own custom reports and change its filters, a **Save as** button appears at the top right. It saves the report as a new copy ("Save as new report"): give it a **Report name** and **Description**, choose **Who has access?**, and click **Save**. ### How to Edit a Report **Step 1: Open My Reports** 1. In the reports catalogue, click **My reports**. 2. You can also click **Customize** in the report's **More options** menu. - **Delete** – remove the report. Pabau asks you to confirm, and this can't be undone. **Step 2: Manage Access** 1. Under **Who can access this report**, choose **Private to the creator** (only you), **Everyone can access** (all employees in your account), or **Specific users or teams** — then choose exactly who, and what each of them can do. 2. To remove one, click its star again, or open the report and choose **Remove from favourites** under **More options**. ### How to Export Reports **Step 1: Open the Report** Open the report you want to export and set its filters. The export follows the filters you've applied. **Step 2: Export the Report** Click the three dots (**More options**) at the top right and choose **Export** (shown as 3 in the screenshot above). Then: 1. Choose the file format — **Excel (.xlsx)**, **CSV (.csv)** or **PDF (.pdf)**. 2. Click **Exports** in the left-hand menu of the reports catalogue. 2. After that, run the export again to get a fresh file. You can also print a report from **More options**: **Print report (Snapshot)** opens your browser's print window for what's on screen, so you can print it or save it as a PDF. **Print (Detailed)** asks you to confirm and then creates a PDF of the full report (**Download PDF**), which you collect from **Exports**. ### How to Share Reports You can share any of your custom reports with someone by link. **Step 1: Open the Custom Report** Go to **My reports** and open the report. **Step 2: Create the Share Link** 1. **More options** holds the report's other actions. 2. Click the share icon (**Share report**) at the top right. They can open the report without logging in to Pabau, so only share it with people who should see the data. **NOTE:** Standard reports don't have a share icon. To share one, clone it first (see [How to Save a Standard Report as a Custom Report](https://support.pabau.com/en/pabau2/reports#how-to-save-a-standard-report-as-a-custom-report)).
