Pathway Report
In this article, you will learn how to use the Pathway Report in Pabau to track whether key steps in the treatment journey such as consent, medical history, and treatment notes have been completed for each appointment.
The Pathway Report allows you to view appointments and track which parts of the client journey have been completed, skipped, or missed. A built-in compliance dashboard summarises how your clinic is doing at a glance, helping you stay compliant, ensure proper documentation, and deliver consistent care.
Step 1: Access the Pathway Report
To access the Pathway Report, log into your Pabau account, go to Analytics from the left-hand menu and click on "Reports". On the "Try our new suite of reports" banner, click Try it now. Once you’re in the new reports view, go to the Business section, scroll to the Clinical group, and click on Pathway to open the report.

Step 2: Review the Compliance Summary
At the top of the report, four KPI cards summarise the appointments in your selected period:
- Appointments – the total number of appointments in the period.
- Fully compliant – appointments where all core checks are done.
- Compliance rate – fully compliant appointments as a share of all appointments.
- Needs attention – appointments with at least one core check missing.
Below the cards, the "Compliance by check" bar chart shows the share of appointments where each check has been completed, so you can see at a glance which checks are most often missed. You can then switch between the All, Fully compliant, and Needs attention tabs — each showing its count — to narrow the table down by compliance status.
Step 3: Review Appointment and Journey Data
Below the compliance summary, review the list of appointments along with key details such as the appointment date, time, service, client, client ID, practitioner (With), and Created By. Clicking a client’s name opens their client card directly.

Each appointment row also includes a breakdown of treatment journey checks — Details, Med History, Consent, Treatment Notes, Aftercare, Photos, and Prescription — each shown as a Yes, No, or Not Set pill, followed by the appointment’s Location column.

The first six checks — Details, Med History, Consent, Treatment Notes, Aftercare, and Photos — determine whether an appointment counts as fully compliant. Prescription is shown for context only and is excluded from the compliance score, as not every appointment needs one.
To add appointment custom fields as extra columns, click Columns in the toolbar to open the "Edit Columns" catalog. This allows you to quickly identify which appointments are missing important documentation or require follow-up.
NOTE: Cancelled and no-show appointments, course bookings, and appointments without a client are excluded from the report.
Step 4: Apply Filters to Narrow Down the Results
Use the filters at the top of the report to refine your results.
You can filter by Date — required, defaulting to the last 30 days, with a maximum range of the last 90 days — and by Location, a multi-select where leaving it empty includes all locations. There are no Service or per-check filters; to focus on appointments where a journey step is missing, use the Needs attention tab described above.

Applying filters helps you quickly identify which appointments need follow-up or are missing key data.
Step 5: Search for a Specific Client
To quickly review journey progress for a particular client, use the search bar at the top of the report ("Search clients, service, location…").
Start typing the client’s name, and the report will automatically update to display only their appointments. You can also search by service or location. This is especially helpful when reviewing documentation for returning patients or following up after recent treatments.

Step 6: Export or Print the Report
Use the toolbar to take the data with you: click Export to download the report to Excel or CSV — the file name starts with "pathway_treatment_missing" — or Print for a printer-friendly copy. The Help button opens an in-app explanation of the report, and Refresh re-runs it with your current filters.
