Organization Reports (Multi-Account)
The Organization reports give multi-account organizations a head-office view of the whole group — five reports that combine live data from every company connected to your organization into a single list.
They answer: how many clients exist across the whole group, what appointments are booked at every clinic, and what each company is invoicing and collecting — without logging into each company one by one.
For example, if your organization connects "Glow Aesthetics London" and "Glow Aesthetics Manchester", the Organization Client List shows Emma Thompson's London record and every Manchester client in the same table, each row labelled with its company.
In this article, we'll explain who can see the Organization reports, how to find them, and what each of the five reports shows.
Who can see the Organization reports
The Organization category only appears when all three of the following are true:
- Your account is part of a multi-account organization — a group of Pabau companies connected together (a master company plus its member companies).
- The Multi-Account feature is enabled for your organization.
- You are logged into the master company — the head-office account. Users logged into a member company do not see the Organization tab.
There is no separate per-report permission beyond this — once the Organization tab is visible, all five reports are available. The data is always scoped to your own organization: the reports can only ever show companies connected to it.
NOTE: If you can't see the Organization tab, you are either logged into a member company rather than the master company, or the Multi-Account feature isn't enabled for your organization.
How to find them
Step 1: Navigate to the Analytics feature
Log in to your Pabau account, and in the left sidebar menu, go to Analytics, then click on the "Reports" button.
Step 2: Access the reports banner
On the "Try our new suite of reports" banner, click Try it now.
Step 3: Open the Organization category
Once you're in the new reports view, select the Organization category tab — described as "Reports across every company connected in your multi-account organization". It holds five report cards, each marked with a "New" badge:
- Organization Client List — every client across all connected companies.
- Organization Appointments — every appointment across all connected companies.
- Organization Payments — every payment across all connected companies, with a summed total.
- Organization Invoices — every invoice across all connected companies, with a summed total.
- Organization Line Items — every invoice line item across all connected companies, with a summed total.
Click a card to open the report.
Toolbar controls (all five reports)
Every Organization report is built on the same report shell, so the toolbar works the same way across all five:

Filters and search (all five reports)
All five reports share the same three filters, plus a report-specific search box:
- Date range – The date the report filters on, named after each report's own date column: Created date (Client List), Appointment date (Appointments), Payment date (Payments), and Invoice date (Invoices and Line Items). Defaults to the last 30 days so the report opens bounded, with presets for Today, Last 7 days, Last 30 days, Last 90 days, and This year — and it can be cleared or adjusted to any custom range.
- Company – Optional, multi-select, searchable. Defaults to "All companies". The options are your master company plus every member company.
- Location – Optional, multi-select, searchable. Defaults to "All locations". Because the same location name can exist at more than one company, each option is labelled with its company, e.g. "City Clinic · Glow Aesthetics London".
- Search – Matches across all companies at once; what it searches differs per report (listed under each report below).
The table shows 50 rows per page, while the results label at the bottom always shows the full total across every company (e.g. "1,240 clients").
Organization Client List
One list of every client across all connected companies. The page opens as "Organization Clients" with the breadcrumb Reports > Organization > Organization Clients.
Search: matches a client's name, email or mobile — the search box reads "Search name, email or mobile…".

This report is a flat list — it has no totals footer.
Organization Appointments
Every appointment across all connected companies. Rows are grouped by company and shown newest first within each company, and dates and times are shown in each clinic's local time.
Search: matches the service or the client name — the search box reads "Search service or client name…".
NOTE: Cancelled appointments, unconfirmed online bookings, and internal buffer bookings are excluded from this report. If an appointment you expected doesn't appear, check whether it falls into one of those three groups before assuming data is missing.

This report has no totals footer.
Organization Payments
Every payment across all connected companies. Only payments taken against a non-void invoice are shown, and the Location filter and column match the location on the payment's invoice.
Search: matches the payer, the invoice number or the payment method — the search box reads "Search payer, invoice no. or payment method…".

A single Total footer sums the Amount column across every reachable company, and the CSV export includes the totals row. See the mixed-currency note below before comparing totals across companies that bill in different currencies.
Organization Invoices
Every invoice across all connected companies. Voided invoices are excluded.
Search: matches the invoice number, the client name or the debtor — the search box reads "Search invoice no, client or debtor…".

| Gross | The invoice total including tax. |
| Paid | How much of the invoice has been paid. |
| Balance | What remains outstanding. |
The five money columns (Net, Tax, Gross, Paid, Balance) are right-aligned and shown in the issuing company's own currency, and the totals footer sums all five across the whole result — treat a mixed-currency footer as an approximation (see the note below). This report prints in landscape, and its CSV export includes the totals row.
Organization Line Items
Every invoice line item across all connected companies — the most granular of the five, ideal for item-level sales analysis across the group. Void invoices and refund rows are excluded, matching the single-company sales reports.
Search: matches the item name, or the parent invoice's number and client name — the search box reads "Search item, invoice no. or client…".

| Unit Price | The price per unit, in the company's own currency. |
| Tax Amount | The tax on the line. |
| Disc % | The discount applied, as a two-decimal percentage. |
| Item Net | The line's net value, in the company's own currency. |
NOTE: Payments are recorded per invoice, not per line — so every line of the same invoice shows the same payment method(s). The Payment Method(s) column header has an info tooltip in the report explaining this.
The totals footer shows Total Quantity, Total Unit Price, Total Tax and Total Item Net. This report prints in landscape, and its CSV export includes the totals row.
Cross-region data and partial results
The companies in an organization can be hosted in different Pabau regions. Each Organization report reaches out to every company's region and combines the results into one table.
If a company's region is temporarily unreachable, that company's rows are left out and a notice appears — for example, "Some companies could not be reached — their clients are not shown." — while the rest of the report still loads. Click Refresh to try again once the region is back.
Mixed-currency totals
On Organization Payments, Organization Invoices and Organization Line Items, the totals footer is a plain sum of the amounts as they appear — it does not convert between currencies. If your organization's companies bill in different currencies, a warning appears:
"This organization uses multiple currencies — the total combines them. Filter by company for an accurate total."
To get an accurate figure, use the Company filter to view one company (or one currency) at a time and read the footer per company.
With this understanding, you can confidently use the Organization reports to monitor clients, bookings and revenue across your whole group from the master company — no more logging into each account one by one.
