[New Online Bookings](https://support.pabau.com/en/pabau2/online-bookings?hsLang=en#new-online-bookings) # New Online Bookings Part 4: Take Payments and Deposits Online ## In this article, you will learn what you need to take payments online, how the deposit for each booking is worked out, which payment options your clients see, and how cancellations and reschedules from the client portal follow your cancellation policy. **NOTE:** The new Online Bookings and Client Portal are being rolled out to clinics in phases. If **Setup → Online Bookings** does not show the **Overview**, **Share** and **Add to website** tabs described here, your account is still on the classic version — see [Online Bookings](https://support.pabau.com/en/pabau2/online-bookings?hsLang=en) and [Client Portal](https://support.pabau.com/en/pabau2/client-portal?hsLang=en) instead. #### **Step 1: Connect Stripe** Online card payments, deposits and store purchases all go through your Stripe account. If you have not connected one, follow [How to Integrate with Stripe](https://support.pabau.com/en/pabau2/how-to-integrate-with-stripe?hsLang=en). The **Payment processor connected** check on the Online Bookings checklist turns green once it is done. **IMPORTANT:** Without a connected payment account, clients can still book, but they cannot pay online, the online store cannot take purchases, and clients must sign in to complete a booking. #### **Step 2: Set Your Deposits** The amount a client pays when booking is worked out by Pabau from your existing settings — there is nothing extra to set up in the new booking page: 1. If the service has its own deposit, that is used — see [How to Set Up Service-Specific Deposits](https://support.pabau.com/en/pabau2/how-to-set-up-service-specific-deposits?hsLang=en). 2. Otherwise your clinic’s default deposit policy applies — see [How to Set Up a Default Deposit Policy](https://support.pabau.com/en/pabau2/how-to-set-up-a-default-deposit-policy?hsLang=en). 3. If neither applies, nothing is taken at booking and the treatment is paid at the clinic. A deposit is not taken when the booking is already covered — for example, by a package session, a membership that waives deposits, or the client’s account balance. The client sees a line explaining why there is nothing to pay. **TIP:** If your deposit policy lets clients pay more, they are asked **How much would you like to pay now?** and can choose the deposit, the full amount or another amount. #### **Step 3: Know What Your Clients See at Checkout** On the **Payment** step, existing clients can sign in for faster booking and loyalty points, or carry on as a guest. They then enter their details and choose how to pay. The options shown depend on what each client has available: - **Apple Pay / Google Pay** — when the client’s device has a wallet set up. - **Pay with card**. - **Pay with package** and **Membership** — when the client has a package session or membership that covers the service. - **Pay with insurance** — when insurance billing is switched on for your clinic. - **Account Balance** — when the client has credit on their account. ![payment-payment-options](https://support.pabau.com/hs-fs/hubfs/payment-payment-options.jpg?width=670&height=288&name=payment-payment-options.jpg) Clients can also add a tip, if you have tips switched on, and enter a gift card or promo code (see [Promotions](https://support.pabau.com/en/pabau2/promotions?hsLang=en)). ![The Payment step as your clients see it](https://support.pabau.com/hubfs/kb/new-online-bookings/nob-p-payment.png) *The Payment step as your clients see it* **NOTE:** If your cancellation policy asks for a card on file, clients are asked to save a card before the booking is confirmed so that a late-cancellation or no-show fee can be collected. They are not charged at that point. #### **Step 4: Choose How Long a Slot Is Held at Checkout** While a client pays, their time is held for them. Go to **Setup → Client Portal** and, on the **Essentials** tab, set **Hold time at checkout** (5 minutes by default). When the time runs out, the client is warned and the slot goes back on sale. #### **Step 5: Decide Whether Clients Can Cancel or Reschedule Online** Clients cancel and reschedule from the client portal. Go to **Setup → Client Portal** and click the **Appointments** card. Under **Feature settings**: - **Allow cancellations** and **Allow reschedules** — switch either off to stop clients doing it themselves. - **Follow cancellation policy** — clients can only cancel or move an appointment outside your cancellation policy’s notice window. - **Always allow** — clients can cancel or move appointments at any time. ![The Appointments card in Client Portal, with the cancellation and reschedule settings](https://support.pabau.com/hubfs/kb/new-online-bookings/nob-cp-appointments.png) *The Appointments card in Client Portal, with the cancellation and reschedule settings* **IMPORTANT:** With **Follow cancellation policy**, a client cancelling inside the notice window is shown the fee your policy sets before they confirm, and the fee is charged to the card on file. Inside the window, rescheduling online is not possible — the client is asked to contact the clinic. Deposits are not refunded automatically. ---   #### What’s next?
