# How to Set Up Multi-Account and Connect Your Pabau Accounts

## In this article, we’ll show you how to link multiple Pabau accounts, sync key data like forms and templates, and keep your operations consistent across locations.

If your business runs more than one Pabau account, for example a separate account for each clinic, Multi-Account brings them together in one organisation. Once your accounts are connected, your team can see on the client card when a client is also registered at another of your clinics, you can copy services, forms and other settings from your main account to the others, and you can run reports across the whole group.

**NOTE:** This feature is being rolled out to clinics gradually. If you don't see it in your account yet, message us via the in-app chat.

This guide shows you how to create your organisation, connect your other accounts and choose what each connection does.

**Step 1: Open Multi Account**

1. Click **Setup** in the left-hand menu.
2. Under **Business**, click **Multi Account**.

**TIP:** Can't see the card? Make sure **Simple mode**, at the top right of the Setup page, is switched off. Simple mode hides advanced settings such as Multi Account. If clicking **Multi Account** opens the Insights Plus page instead, your account needs the Insights Plus add-on before you can use Multi-Account.

**Step 2: Create Your Organisation**

Do this from the account you want to manage the group from, such as your head office or main clinic. That account becomes the organisation's **main account**: only the main account can add or remove accounts, change connections and copy settings to the other accounts.

1. On the **Multi-Account Management** screen, click **Create Organization**.

In the **Configuration** window:

1. Type a name for your group in **Organization Name**. **Master Name** shows the account you're signed in to, which will be the main account.
2. Click **Save Organization Setup**.

**Step 3: Add Your Other Accounts**

The **Account connections** page opens. The **Your organization** panel on the left lists the accounts in your organisation, with yours labelled **Main account**.

Click **Add account**, then choose how to add the account:

1. **Choose an existing account** lists the other Pabau accounts you already sign in to with the same login. No API key is needed.
2. **Connect with an API key** is for an account you don't sign in to. Enter its **Company ID** and **API Key**, then click **Link Company**. An admin of that account can find the key under **Setup** \> **Integrations** \> **API Keys**.

If you chose an existing account:

1. Pick it from the **Account** list.
2. Click **Link Company**. The account appears in **Your organization** and gets its own tab on the page.

**NOTE:** To link an account from the list, you need to be an admin or owner in both your main account and the account you're adding. If you aren't, Pabau shows "You need to be an admin or owner of the company you are adding." Ask an admin of that account to give you access, or use its API key instead.

Repeat this step for each account you want to connect.

**Step 4: Choose How Each Account Connects**

1. To connect another account, click **Add account** again, as in Step 3.
2. Click a connected account's tab at the top of the page. Three cards show how that account and your main account work together.

- **Data mirroring** is off until you turn it on. Switch it on, or set the **Data mirroring connection** to **⇄ Two-way**, to connect matching client records between this account and the main account. Choose **No connection** to turn it off again.
- **Asset copying** (**→ One-way**) is always available. **Copy assets** copies services, forms, products, templates and more from your main account into this account.
- **Multi-account reporting** (**↔ All accounts**) is always available. **View reports** opens the Organization reports, which include every connected account whether or not data mirroring is on.

To connect this account's client records with the main account:

1. Switch **Data mirroring** on.
2. Check that the **Data mirroring connection** now reads **⇄ Two-way**.
3. Click **Save and finish** (see Step 5).

With data mirroring on, Pabau looks for the same client in both accounts: the same email address, plus the same last name or mobile number, on an active record. Staff then see on the client card that the client is also registered at the other clinic, and can open that clinic's records in read-only view. Mirroring doesn't copy or merge anything: each clinic keeps its own client record. Click **How does data mirroring work?** on the card for a reminder.

**Step 5: Save Your Connections**

Click **Save and finish**. Until you do, the bottom of the page shows **You have unsaved changes**. **Cancel** undoes your changes, and leaving with **Back to setup** asks you to confirm with **Discard changes**.

**Your organization is connected** confirms the save. Choose a next step:

1. **View reports** opens the Organization reports.
2. **View clients** opens your client list.
3. **Copy assets** starts copying settings to a connected account.

**Removing an Account**

1. On **Account connections**, click the account's tab.
2. Click **Remove account** at the top right of the cards.
3. In **Remove company?**, click **Remove**.

The account leaves your organisation, so its client connections and reports stop. Its own client records stay as they are, and anything you've already copied into it stays too. You can add it back later.

**What the Other Accounts See**

When staff in a connected account open **Multi Account**, they see the organisation and its connections in a **Read only** view. The page explains that the account is already part of your organisation and that changes are made by an administrator of the main account. The organisation's name also appears above the account name when you open the account menu at the top right.
