# How to View an Insurer's Account and Generate an Insurer Statement

Every insurer you bill has an account in Pabau: the invoices issued to it, the payments it has made and the policies your clients hold with it. You can open it straight from the claims list to see what an insurer owes, send it a statement, print documents for its invoices or record a payment.

**NOTE:** Available to clinics that use insurance billing. Anyone who can open Insurance claims can view an insurer's account. Recording payments needs the **Can access payments page** and **Can edit invoices** permissions; without them, **Upload Remittance** and **New Payment** are greyed out.

**Step 1: Open the Insurer's Account**

1. Go to **More → Claims**.
2. Click the insurer's name in the **Insurer** column of any claim.

**Step 2: Check the Overview**

The account opens on the right under **Insurance provider overview**. The tiles show the number of **Open policies**, the total of **Unpaid invoices** and any **Available credit** from payments not yet matched to invoices.

1. Switch between **Invoices**, **Payments** and **Insurance Policies** with the tabs.

On **Invoices**, each row shows the date, client, item, staff member, invoice number, status, amount and balance. Use **Search**, the location and status filters and **Date range** to narrow the list. **View** opens the invoice, and the **Actions** menu on each row offers **Pay & approve (insurer) invoice**, **Record (insurer) payment in detail…**, **Receive Client Payment**, the **Print Receipt** and **Email Receipt** options and **View Sale**.

**Step 3: Generate an Insurer Statement**

1. To send a statement for particular invoices, tick them (or click **Select page**). To cover a period instead, leave everything unticked.
2. Click **Statement**.

In **Insurer statement**:

1. If you didn't tick any invoices, choose the period, for example **This month**, **Last month**, **Last 3 full months**, **Year to date** or **Last year**, or tick **Include every invoice on this account**. If you did, the statement simply lists the invoices you selected.
2. Choose the **Format**: **PDF statement**, **Excel** or **CSV**, then click **Generate statement**.

Your file is prepared in the background. Download it from **Analytics → Exports** when it is ready. The location, claim status and search filters you set on the account also apply to the statement.

**TIP:** A PDF lists up to 5,000 invoices. Choose Excel or CSV for longer periods.

**Step 4: Print Documents for an Invoice**

1. On **Invoices**, tick one invoice.
2. Click **Export** (it appears at the top once an invoice is ticked) and choose **Insurance Invoice** under **Export PDF Documents**. US clinics see **Superbill** in its place, and also **CMS1500**.

The document uses the claim's current details. The claim's status does not change and nothing is sent to the insurer. These options print one invoice at a time; to print several together, use the batch export on the client's insurance case.

**Step 5: Review Payments and Record a New One**

1. Select the **Payments** tab. Each payment (remittance) from the insurer shows its **Payment date**, **Method**, **Reference number**, **Total**, how much is **Applied to** invoices and the **Balance remaining**. **View** opens the payment's details.
2. To record money from this insurer, click **New Payment** (enter it by hand) or **Upload Remittance** (upload the insurer's remittance file) at the top of the account.

The **Insurance Policies** tab lists the clients' policies with this insurer, with the member number, status, end date and authorisation code.
