# How to View a Client’s Financial Statement (New Client Card)

## In this article, we’ll show you how to access and use the Account Summary feature within a client’s card. This allows you to view a complete, organized breakdown of all financial activity for that client, including invoices, payments, outstanding balances, and more.

The **Statements** sub-tab on the client card shows a client’s account ledger: every invoice, payment, credit and refund in one list, with a running balance after each one. Use it to answer “what do I owe?” at the desk, or print or export it for the client.

**Step 1: Find the Client**

1. Click the search bar at the top of the screen (or press **Ctrl K**) and type at least three letters of the client’s name.
2. Click the client under **Clients** to open their client card.

**Step 2: Open the Statements Sub-Tab**

1. On the client card, click the **Financials** tab.
2. Click **Statements**, the last sub-tab in the row. The **Account ledger** opens.

**NOTE:** Don’t see **Statements**? Your visibility group may hide it. See **Controlling Who Can See Statements** below.

**Step 3: Read the Summary, Then Print or Export**

Four cards at the top total up the client’s account:

- **Invoiced**: everything billed to the client.
- **Payments**: money the client paid directly against invoices.
- **On account**: money paid onto the client’s account.
- **Refunded**: money returned to the client.

1. Click **Print** to open a print-ready statement in a new tab. It shows the statement date, every entry, the totals, and whether the client owes money, is in credit or is settled in full.
2. Click **Export** to download the ledger as a CSV file you can open in Excel or another spreadsheet app.

**Step 4: Read the Ledger**

Below the cards, the ledger lists every entry with the newest at the top. Each row shows:

- **Type**: **Invoice**, **Credit note**, **Payment**, **On account** or **Refund**.
- **Date**: when it happened.
- **Reference**: the invoice or payment number. Click an invoice or credit note reference to preview it without leaving the statement.
- **Existing balance**: the client’s balance before this entry.
- **Change**: what this entry did to the balance. Invoices take the balance down; payments and credits bring it back up.
- **New balance**: the balance after this entry.

A minus sign means the client owes money; a plus sign means they’re in credit. The **Closing balance** at the bottom is where the account stands today.

**Controlling Who Can See Statements**

Statements have their own switch in visibility groups, so you can let staff see invoices and payments without the full ledger. Changing it is usually a job for an admin or practice manager.

1. In the left sidebar, open **Team** and click **Team** again, then click the **Visibility** tab.
2. On the group you want to change, click the three-dot menu.
3. Click **Edit**.

1. With **Clients** selected, scroll to **Financials** and switch **Statements** on or off. Its description reads **Users can view, print and download client Statements**.
2. Click **Save** at the top right.

**IMPORTANT:** The ledger nets invoices against payments, so a staff member only sees **Statements** when their visibility group has **Invoices**, **Payments** and **Statements** all switched on, and their role allows **Can access invoices page** and **Can access payments page**. Admins always see it.

**NOTE:** Groups that were set up before the **Statements** switch existed show statements to their members, just as before. Switch it off only for the groups that shouldn’t see the ledger.
