Video AI is an intelligent assistant built into Pabau's video calling feature. It automatically transcribes your virtual consultations, stores the recording securely in the video call log, and allows you to instantly generate treatment notes from the transcription — so you can stay focused on your client rather than manual note-taking.
Step 1: Start Your Video Call
Log into your Pabau account using your login credentials and navigate to your Calendar to find the relevant client's appointment.
To access all scheduled video appointments for the day, click to expand the client's tab and it will reveal the 'Video' sub-tab. Launch the video call as you normally would by clicking 'Start Meeting.'
NOTE: Video AI is available to employees only. The transcription sidebar will not be visible to clients at any point during the call.
Proceed to select if you want to allow camera and microphone before clicking 'Join Room.'
Step 2: Open Video AI
Once you join, the AI Transcription sidebar will appear on your screen automatically.
If you'd prefer not to use transcription for that call, close the sidebar using the X button at the top right corner. You can reopen it at any time by clicking the Transcription button (wand icon) during the call.
NOTE: If it doesn't, navigate to the top right corner of the screen and click the wand icon, if no templates exist at all, you will see: "Please create treatment notes first, in order to be able to use Video AI in video consultations."
Step 3: Review the Client Selection
Inside the sidebar, you will notice the Choose Client field is pre-filled with the client the appointment is booked with. This field is locked and cannot be edited or cleared, ensuring that the transcription is always linked to the correct client record.
Step 4: Select a Treatment Note Template
Click the Treatment Note field and type keywords to search for the template you want to use. Results are sorted A–Z and only show active templates that contain a long answer component titled "Comments" — this is where your transcription will be inserted.
NOTE: You must select a template before starting — if you try to start without one, the Treatment Note field will turn red.
Step 5: Configure Your Transcription Settings
Before starting, click Update Settings to choose how you would like the transcription to be processed. Two modes are available:
- Word for word — the transcription is captured and stored exactly as spoken, with no alterations. When you create a treatment note, the raw transcription text is inserted directly into the note.
- Smart processing — instead of storing the raw transcription, Pabau passes the content through AI with the instruction to shape it into a structured treatment note. The output is then used to populate the treatment form automatically.
Select the option that best suits your documentation preferences before starting the transcription.
Step 6: Start the Transcription
When you are ready to begin capturing the conversation, click the 'Start Transcription' button within the sidebar. The system will begin transcribing the call in real time. You can stop and restart transcription at any point during the call if there are moments you do not wish to capture.
Step 7: Complete the Transcription
When the consultation is finished and you are ready to wrap up, click the Stop icon in the transcription sidebar. This will pause the transcription and finalize the captured content.
The transcription is stored in the video call log, linked to the relevant client and treatment note template.
Step 8: Navigate to the Client Card
To view the saved treatment note, access the client card and click to expand the 'Chart/EMR' tab. Then, click the 'Treatment Notes' sub-tab.
