[New Client Card](https://support.pabau.com/en/pabau2/new-client-card?hsLang=en) # How to Use the Client Timeline (New Client Card) The client timeline shows everything that has happened for a client in one dated list: appointments, treatment notes, forms, photos, documents, payments, messages, changes to their details and more. Use it to catch up before a consultation or to find out when something happened, without opening every tab of the client card. **NOTE:** The timeline only lists records you are allowed to see. Your user group’s settings and permissions decide which record types appear, and private forms stay private. **Step 1: Open the Timeline** Open the client’s card. It opens on the **Summary** tab, showing the **Fact Sheet**. 1. Click **Timeline** next to **Fact Sheet**. Upcoming appointments have future dates, so they appear at the top. - The month heading stays pinned at the top while you scroll through that month. - Each day groups its records by type, for example **Appointments**, **Treatment notes**, **Medical history**, **Consent**, **Payments** or **Communications**. - Appointments show the practitioner, the time and the status. Payments show the payment method, the amount and the invoice they were taken against (**Invoice #** and its number). Messages show the subject, who sent them and how (email, SMS, letter and so on). - Click the arrow at the right of a record to open it in its own tab of the client card. - Keep scrolling to load older records. **You’re up to date** marks the end of the client’s history. **Step 3: Show One Type of Record** The record type box on the left shows **All activity** until you choose a type. 1. Click the **All activity** box and start typing in **Search activity types**. 2. Choose a type, such as **Treatment notes**. Only that type of record is listed. ![The Record type dropdown open with a search in Search activity types and the Treatment notes option marked](https://support.pabau.com/hubfs/Pabau%202%20Knowledge%20Base/kb/gap-2026-10/490355150038-02-record-type.png) *Search for a record type and pick it* Some types bring several kinds of record together: - **Financials**: invoices, quotes, payments, loyalty, sold items and voided invoices. - **Statements**: invoice and payment activity only. - **Communications**: emails, SMS, letters, calls, WhatsApp messages and scheduled messages. - **Forms**: medical history and consent forms, including scanned paper forms. The list only offers the types your clinic uses and your user group can see. Your choice stays in place if you switch to **Fact Sheet** and back. **Step 4: Jump Back to a Date** 1. Click the **Up to** box and pick a date. The timeline then starts from that day and shows everything up to and including it. Pick today’s date to hide appointments booked for later dates. 2. Click the name of a treatment note to open it in place. Medical history and consent forms open the same way. Click the name again to fold it away. 2. Use the arrow to open them in the **Forms** tab. **Step 6: See Changes to the Client’s Details** When someone changes a client’s details, such as their name, phone number, email address or address, a **Client details** record shows each field that changed: the old value crossed out, then the new value, with who made the change and when. A strip shows up to eight thumbnails, with a **+** tile counting the rest. Click a thumbnail to open it in the photo viewer. **NOTE:** Changes to custom fields and to the client’s relationships are not recorded in the client details history. **If Something Doesn’t Load** - **Some activity could not be loaded. You can still browse the records below.** means part of the history didn’t load. The records shown are correct; click **Try again** to load the rest. - If older records stop loading as you scroll, click **Load older records**. - **No records to show** means nothing matches your filters.
