How to Set Up Fax

Step 1: Navigate to Sender Addresses

Start by logging into your Pabau account using your existing credentials. Before you can send or receive faxes, a fax number must be configured and assigned. In Pabau’s settings:

1. Go to Setup in the left sidebar menu.

2. Navigate to Communications > Sender Addresses.

3. Click the "Create a sender" button at the top right corner and click "Setup Fax."

Step 2: Add Fax Number

Here you can purchase or add a fax number that will be used as your “Fax as” sender ID when sending faxes. A window will open where you can add a fax number. Click the "Add/Port Number" button to get started.

Depending on whether you already have a fax number or need a new one, choose the New Number or Port Existing tab at the top.

Step 3: Add New Number

If you want to add a new number, you’ll be prompted to select the country, state/region, and choose an available fax number before moving on to the next step.

Then clicking "Add Number" will add the selected fax number to your account, making it immediately available for sending and receiving faxes within Pabau.

Step 4: Port Existing Number 

If you want to bring your current fax number into Pabau, use the Port Existing tab in the Add or Port Number modal. This allows you to transfer an existing number from your current fax provider so you can continue using it inside Pabau’s Fax Inbox.

Complete all required details in the form and then send the request to support@pabau.com so our team can help process the port‑in request on your behalf.

Here’s what each field includes and why it’s needed:

Porting Details

• Fax Number(s) to be Ported
  Choose the number you want to transfer from a dropdown. Click the Check button to confirm it’s a valid fax number and eligible for porting. This verifies the number before submitting the request.

• Billing Address (text) — The street address on record with your current fax provider. 

• City (text) — The city where your service is registered. 

• State/Province/Region (text) — The region as listed on your current account.

• ZIP/Postal Code (text) — The postal code used by your provider.

• Country (dropdown) — Select the country where your fax number is currently registered.

Account Details with Current Provider

These fields ensure the authorization and identity information matches what your current provider has on file, which helps avoid rejection of the port request:

• Email Address — The email associated with your existing fax account.

• Company/Business Name — Your organization’s name as registered with the current provider.

• Authorized Person’s Name — The name of the person legally allowed to request number changes on the account.

• Billing Telephone Number — The contact phone number listed with your current provider. 

• Account Number — The account number your current provider uses to identify your service. 

• Port Out PIN — If your current provider uses a PIN (sometimes called a transfer code), enter it here.

• Copy of Most Recent Bill (Upload) — Upload the latest invoice from your current fax provider. This verifies ownership of the number and speeds up the porting process. 

After you’ve filled out all fields and reviewed the information for accuracy, select Continue to save your details. Then send the completed form to support@pabau.com so our team can initiate the fax number port‑in process for you.

Selecting a recognizable clinic fax number helps ensure that external providers and labs immediately recognize where faxes are coming from. Once a fax number is added, it will appear in the Fax Inbox and “Send Fax” workflows as a sender option.
