[Client Notifications](https://support.pabau.com/en/pabau2/communications?hsLang=en#client-notifications) # How to Send Client Notifications by WhatsApp As well as email and SMS, your client notifications can go out on WhatsApp, from your clinic's own WhatsApp Business number in Pabau Engage. You turn WhatsApp on for each message separately in the notification studio, choose one of your approved WhatsApp templates, and tell Pabau which client or appointment details to fill in. **NOTE:** This feature is being rolled out to clinics gradually. If you don't see it in your account yet, message us via the in-app chat. **IMPORTANT:** WhatsApp notifications need an active Engage subscription or trial, a WhatsApp Business number that is connected and verified in Engage, and at least one WhatsApp template that Meta has approved in the **Utility** category. **Step 1: Set Up WhatsApp in Engage** 1. Connect your WhatsApp Business number in Engage. See [How to Connect WhatsApp Business to Engage](https://support.pabau.com/en/pabau2/how-to-connect-whatsapp-business-to-engage?hsLang=en). 2. Create a template for the message, for example an appointment reminder, and wait for Meta to approve it. See [WhatsApp Templates and the 24-Hour Window](https://support.pabau.com/en/pabau2/whatsapp-templates-and-the-24-hour-window?hsLang=en). **Step 2: Turn On WhatsApp for a Message** 1. Go to **Setup** and, under **Marketing & Communication**, click **Client Notifications**. Click **Edit template** on the message you want to send by WhatsApp. 2. Hover over the switch to see what's missing. **Step 3: Choose a Template and Fill In the Details** The **Send this notification by WhatsApp** window opens. 1. Under **Approved template**, choose the template to use. Only your approved Utility templates are listed. If there are none, create one in Engage, wait for approval and come back. 2. On reminders, set the **Days before the appointment** and the time to **Send from this time (clinic time)**. WhatsApp reminders use these settings, not the email and SMS reminder timeframe. 3. The template's wording is shown below. For each **Detail** in it, choose what to fill in, such as **Client first name**, **Clinic name** or **Appointment date and time**. To use fixed wording instead, choose **The same text every time** and type it in **Text to include**. Every detail needs a value. 4. To change the template or details later, click **Settings** next to the WhatsApp switch. To stop sending by WhatsApp, switch it off. **NOTE:** The details you can choose depend on the message. For example, **Feedback link** is offered on feedback requests and **Invoice link** on invoices. On **Secure email template**, you must include the **Secure document link**. For password-protected documents, include the **Document access code** too. **How WhatsApp Notifications Are Sent** - WhatsApp messages are triggered by the same events as the email and SMS versions, such as a new, moved or cancelled booking, or when you send or share an item yourself. Once WhatsApp is on for a booking message, it goes out every time that event happens, whether or not you tick the email or SMS confirmation while booking. Turning WhatsApp on doesn't send anything for past bookings or items. - The client needs a mobile number on their record to receive WhatsApp messages. - Reminders by WhatsApp follow their own days and time, set in Step 3, even if email and SMS reminders are switched off. - If a WhatsApp message can't be sent, the booking or other action still goes ahead. Check the conversation in Engage before you try again. **Step 4: Fix a Message That Needs Attention** If the template a message uses is deleted or is no longer approved by Meta, the message's card shows **Needs attention**, and the studio shows **Template unavailable — choose a replacement in WhatsApp Settings, or turn WhatsApp off.** Pabau never swaps in a different template on its own. 1. Open the message in the studio and click **Settings** next to the WhatsApp switch. 2. Choose a replacement under **Approved template**, check the details and click **Save and enable WhatsApp**.
