# How to Review an Insurance Case's Progress, Invoices and Lookups (New Client Card)

Every insurance case on a client card has its own details view. It shows how much of the authorisation has been used, what has been billed and paid against the case, the policy it bills, and the invoices and claims that belong to it, with exports for the insurer. This guide walks you through it. **NOTE:** Insurance cases are available to clinics that use insurance billing. Anyone who can open the client card can view a case.

**Step 1: Open the Case**

Open the client card and select **Insurance** in the left panel.

1. Under **Case Details**, click **View** on the case.

**Step 2: Check Treatment Progress and the Totals**

The case opens on the right, with its status, insurer and authorisation code at the top. **Close case** closes it when the course of treatment is finished, and **Look up membership** checks the client's cover with the insurer.

1. **Treatment progress** counts the services used so far: past appointments plus any **Services used outside Pabau**. When the case has a **Maximum number of services**, it also shows how many sessions remain; booked appointments still count towards that limit. Click **Edit** to update the case's authorisation details, such as the maximum number of services or the services used outside Pabau.
2. The tiles underneath show the **Authorised amount** and the case invoices' **Total billed**, **Total paid** and **Total outstanding**.

**Step 3: Review the Policy, Case Details and Appointments**

Scroll down to see:

- **Insurance policy**: the insurer, **Subscriber / member number**, **Policy holder** and policy dates, with **Review policy & coverage** and the policy's **Default billing codes**.
- **Case details**: the **Authorisation code**, **Maximum number of services**, **Authorised amount** and **Services used outside Pabau**, plus the **Linked appointments**. Use **Add / remove** to change which appointments belong to the case.
- **Membership Lookups** (UK): the membership checks saved for the policy. Click **New Lookup** to check again. For a Bupa policy this section is **BUPA Membership Lookups** and also shows any pre-authorisation that matches the case.

**TIP:** A case that isn't attached to a policy shows **Link policy**. When the client has more than one policy with the same insurer, **Change policy** moves the case to another of them.

**Step 4: Work With the Case's Invoices**

**Invoices** lists the invoices linked to the case's appointments, with each one's **Claim state**, service date, staff member, invoice number, fee code, diagnostic codes, invoice state, amount and balance.

1. Click a claim state, such as **Not submitted**, to open that invoice's claim.
2. Click **Statement** for a statement of the case's invoices (or only the ones you ticked).
3. To export, tick the invoices (or **Select all**) and click **Export**.
4. Choose **Excel**, **CSV** or **Batch insurance invoice** (US clinics see **Batch superbill** and **Batch CMS1500**).

Statements and exports are prepared in the background. Pabau takes you to **Analytics → Exports**, where you can download the file when it is ready.

**NOTE:** If you see **Unable to export insurance invoices**, some of the invoices you ticked are missing details the document needs, such as a linked appointment or a diagnosis. Fix those invoices and try again.
