# How to Reissue an Insurer Invoice Balance to the Client (New Client Card)

When an insurer pays less than you billed, or declines the claim, the rest of the invoice becomes the client's to pay. **Reissue invoice** moves the unpaid balance from the insurer's invoice to a new invoice for the client in one step, and can then prepare an email with a payment link for them.

**NOTE:** **Reissue invoice** only appears on an invoice billed to an insurer that still has an unpaid balance. Your clinic needs at least one active credit note reason in Setup, because the reason you choose is recorded on the credit note.

**Step 1: Find the Insurer's Invoice**

Open the client card and select **Financials**, then **Invoices**. Invoices billed to an insurer show the insurer's logo under **Issued to**.

1. Hover over the invoice and click the **⋮** (**Invoice actions**) button.
2. Choose **Reissue invoice**.

**Step 2: Check the Balance and Choose a Reason**

**Reissue balance to client** shows who the invoice is **Currently billed to** (the insurer), who you will **Reissue to** (the client) and the **Balance to reissue**. **What happens next** spells out the result: a credit note clears the remaining balance on the insurer's invoice, a new invoice for the same amount is created for the client, and both invoices share the same base number so they appear together on the client record.

1. Click **View balance breakdown** to see the **Invoice total**, **Payments received**, **Credits and adjustments** and **Remaining balance**.
2. Choose the **Reason for reissue**, for example **Insurance Shortfall**. It is recorded as the reason for the credit note.
3. Add an **Internal note (optional)** for your team if you need to.
4. Click **Reissue (amount)**.

**Step 3: Collect the Balance From the Client**

What happens next depends on the insurer's card settings:

- If the insurer collects a card for shortfalls with **Charge shortfalls** set to **Automatic**, and the client has a saved card, the balance is charged to that card automatically.
- With **Charge shortfalls** set to **Manual**, the payment screen opens with the client's saved card selected. Press **Charge** to take the payment.
- Otherwise, Pabau confirms **Invoice reissued** and shows the new invoice number. Click **Prepare email** to open an email draft to the client with the payment link and the invoice attached, or **View invoice** to open it.

The window tells you which of these will happen before you click **Reissue**. No payment is taken and no email is sent until you send the draft yourself. The email's wording follows the reason you chose, for example a shortfall, an excess or a declined claim, and you can edit it before sending.
