This article covers the new Client Card, available to selected clinics from August 2026. If your Client Card looks different, see the How to Link Insurance with Client (Classic) guide instead.
Linking an insurance company to a client ensures that the correct price list and billing information is applied when the client is covered by insurance.
Step 1: Access the Client Card
Start by logging into your Pabau account, then navigate to the Client Card of the client you want to update by using the search bar at the top of the screen.
In the panel on the left side of the Client Card, click the Insurance tab to access and manage the client’s insurance details.
NOTE: If you don’t see the Insurance tab, the Insurance Billing feature is switched off for your account. An administrator can enable it in Setup > Business Details > Features.
Step 2: Add a New Policy
Click New Policy at the bottom of the Insurance Policies list. This will open a window where you can link an insurance company to the client.
Step 3: Select the Insurance Company
The Add Insurance Provider window lists the insurance companies already added to your system.
- Click on the insurance provider you want to assign — a tick will appear on the selected card.
- If the provider you need isn’t listed, click + Add insurance provider to create a new one.
- Once you’ve made your selection, click Save to confirm and link the provider to the client.
Once you save, the New insurance policy window opens. Enter the client’s Member ID — the membership number printed on their insurance card — then click Create to finalise. To record fuller policy details, such as the policy type, status, and dates, click More options before saving.
Step 4: Confirmation
The insurance company will now show on the client’s Insurance tab and will be used during billing when applicable.
By following these steps, you can successfully link clients with their insurance company.
