# How to Let Pabau Pick a Free Room or Equipment When Booking

When a service uses rooms or equipment, you don't have to work out which one is free. In the booking panel, leave the service's **Resource** on **Any available resource** and Pabau gives the appointment the first room and the first piece of equipment, in your priority order, that are free at that time. You can still pick a specific room or piece of equipment whenever you need to.

**NOTE:** This feature is being rolled out to clinics gradually. If you don't see it in your account yet, message us via the in-app chat.

**NOTE:** The **Resource** field only appears for services that have rooms or equipment assigned to them, plus any room or equipment set to accept all services. The order you assign them to the service is the priority order Pabau follows. **Step 1: Add the Service to a Booking**

In the **Calendar**, click a free time, choose the client and add the service. The service card shows the room Pabau has picked at the end of the summary line (here **Luton Room**) and the equipment under **Using**.

1. To see or change the choice, hover over the card and click the pencil.

**Step 2: Choose Any Available Resource or a Specific One**

1. Click the **Resource** field. You can type in **Search rooms and equipment** to find one quickly.
2. **Any available resource** is selected by default. Once Pabau has checked the time, it names the room it found, for example **Luton Room (any available)**.
3. To use a particular room, pick it under **Rooms · choose one**.
4. To use particular equipment, pick it under **Equipment** (you can choose more than one). Choose **No resource** at the bottom of the list if the appointment needs neither.

What the **Any available resource** option tells you:

- **Luton Room (any available)**: that room is free at this time and will be used.
- **Luton Room — no room free at this time**: none of the service's rooms is free, so the appointment would go in its first room. Choose another time, or pick a room yourself.
- **Luton Room (default room)**: Pabau couldn't check this time, so it will use the service's first room.

**NOTE:** Pabau checks again whenever you change the time, duration or team member. While it checks, **Book appointment** waits a moment. If every room the service uses is at another branch, the card says **No room for this service at this location.**

**Step 3: Book the Appointment**

Click **Book appointment**. Pabau saves the first room and equipment, in priority order, that are free for the whole appointment. A room counts as free until its bookings reach the number of places it has, and equipment until its bookings reach the quantity you own. For an appointment that runs over several days, every day is checked.

**TIP:** The room and equipment are saved on the appointment, so the choice doesn’t change later. To move an appointment to a different room afterwards, see [How to Change Rooms for Appointments](https://support.pabau.com/en/pabau2/how-to-change-rooms-for-appointments?hsLang=en).

**Checking Equipment When You Reschedule**

When you reschedule an appointment from its booking panel (**Actions** → **Reschedule**):

1. The top of the **Reschedule Appointment** panel shows what the appointment is **Using:**.
2. The key explains the colours: **Equipment available** (green) and **Equipment in use** (red).
3. A bar runs down the side of the calendar while you choose a time: green where the equipment is free and red where it's booked. Each red stretch is labelled with the equipment, who is using it and when.

**NOTE:** If you drag an appointment onto an equipment column that the appointment doesn’t use, Pabau stops the move and asks you to **Change the equipment in the appointment details before moving it to this resource.**
