How to Issue a Credit Note for an Invoice from the Client Card (New Client Card)

Credit notes are issued on invoices to rectify errors, provide refunds, or adjust balances. In this article, we will explain in detail how to issue a credit note for an invoice from the client card.

This article covers the new Client Card, available to selected clinics from August 2026. If your Client Card looks different, see the How to Issue a Credit Note for an Invoice from the Client Card (Classic) guide instead.

Step 1: Navigate to the Client Card

Start by logging in to your Pabau account. Then click the search bar at the top of the page and type at least three letters of the client’s name — Pabau filters the results as you type. Select the client to open their client card.

Step 2: Switch to the Financials Tab

In the client card, select the Financials tab. This section holds the client’s invoices, payments, and other financial records.

Step 3: Locate the Invoice

Within Financials, open the Invoices sub-tab, where all raised invoices are listed. Locate the invoice you want to credit and click its invoice number to open it.

You can also issue a credit note directly from the invoice list — hover over the invoice row, click the three dots on the right, then select Credit Note from the dropdown.

Step 4: Open the Options Menu

With the invoice open, click the Options button in the top right corner. A dropdown lists the actions you can take with the invoice — Credit Note is the first option.

Step 5: Select a Credit Note Reason

Once you click Credit Note, the Create Credit Note window will appear, showing the invoice number and a short explanation of what a credit note does.

Start by selecting a Credit note reason from the dropdown (required). By default, the reasons are:

  • Debt Write Off
  • Incorrect Amount
  • Insurance Shortfall
  • Reissue To Insurance

You can also adjust the Date if needed — it can’t be earlier than the invoice date.

Step 6: Adjust the Details

In the Items to credit section, you can:

  • Tick the box next to each item you want to include in the credit note
  • Adjust the Quantity and Credit Amount for each item
  • Use Select all / Clear all in the corner of the card to select or deselect every item at once

Depending on the invoice, you may also see these additional options:

  • Refund the allocated payment — this switches on automatically when the amount you’re crediting exceeds the invoice’s outstanding balance, returning the excess to the client. When a refund applies, select the refund payment method from the dropdown that appears.
  • Remove [item] from Client Card — for vouchers and packages on the invoice, tick this box to remove the item from the client’s record. This can’t be undone.
  • Return to stock — for retail products, tick this box to return the credited stock to your inventory.
  • Add a note (optional) — add any internal notes about the credit.

The Credit total updates automatically based on the items and amounts selected. Once you’re done, click Create credit note to confirm, or Cancel to exit without saving.

Step 7: Confirm the Changes

To confirm that the changes are reflected in the client’s records, navigate to Financials > Invoices, where the credit note appears with an invoice number starting with CN, alongside the amount that was credited.

You’ll also see Credit and Refund tags next to the original invoice, indicating that a credit note was issued and, if applicable, that a refund was processed.

If you follow these steps, you’ll be able to issue a credit note to correct billing mistakes and keep the client’s financial records accurate.
