# How to Copy an Insurance Policy to a Family Member (New Client Card)

When family members share an insurance plan, you don't have to type the policy in again for each of them. From the client card you can copy a client's policy to a linked family member, or duplicate it for the same client when the plan renews.

**NOTE:** You can copy a policy to anyone linked to the client as family, next of kin or an emergency contact on the **Relationships** tab, as long as they have their own client record. The **Insurance** tab appears once Insurance Billing is switched on under **Setup → Business Details → Features**.

**Step 1: Start From Add Case**

The copy options are offered when you add a case.

1. Open the client's card and click **Insurance** in the panel on the left.
2. Click **+ Add Case**.

**Step 2: Click Copy to Family Member**

- If the client has **one policy**, the **Add a case** window opens. At the bottom, under **This case will be linked to the selected insurance policy.**, click **Copy to family member**.

- If the client has **more than one policy**, Pabau first asks **Add case to which policy?**. Click **Copy to family member** on the policy you want to copy.

**Step 3: Pick the Family Member and Create the Policy**

1. In **Copy policy to a family member**, click the person you want to copy the policy to.
2. The policy form opens for that person, already filled in from the client's policy, including the membership number. Check the details and click **Create**.

Pabau confirms with **Policy copied** and the family member's name, and the policy now appears on their **Insurance** tab. The **Add a case** window you started from stays open: fill it in if you're also opening a case for this client, or click **Cancel**.

**NOTE:** The copy takes the insurer, the membership number and the policy details. Scans of the insurance card stay with the original client, so add the family member's own card to their policy if you need it, and services already used under the original policy don't carry over. If the client has nobody to copy to, the window says **This client has no linked family, next of kin or emergency contacts to copy to.** Link the person on the **Relationships** tab first.

**Step 4: Duplicate a Policy for the Same Client**

Use **Duplicate policy**, next to **Copy to family member**, when the same client needs another policy with the same insurer, for example when their plan renews.

1. Click **+ Add Case** on the client's **Insurance** tab, then **Duplicate policy**, as in Step 2.
2. The policy form opens filled in from the current policy, with the start date, end date and status left blank for the new period. Keep the membership number for a renewal, or change it for a new plan.
3. Click **Create**.

The client's existing cases stay on the policy they were on. If Pabau can't confirm that, it shows **Some existing cases may now bill the new policy**: check each case and use **Change policy** to move one back.
