How to Use Filters in the Client Package Outstanding Report

This article explains how to build and filter the "Client Package Outstanding report" in Pabau to see which sold packages still have outstanding sessions or items.

Step 1: Navigate to Reports

Log in to your Pabau account, navigate to the left sidebar menu, and click on Analytics, then Reports.

Step 2: Open the Client Package Outstanding Report

Under the Sales category on the left, click on "Client Package Outstanding report."

Step 3: Understand the Filter Sentence

This report uses three filters joined by "and," meaning all three conditions must be true for a result to appear:

Showing Line Item where Item Category is Package and Invoice where Invoice Date is in This year and Line Item where Item Employee is not empty

Click on the "X" next to a filter to remove it, or click on any underlined word to change it.

Step 4: Choose the Object

Clicking on the object name (e.g. "Line Item" or "Invoice") opens a dropdown with the available objects for this report:

  • Line Item — an individual line on an invoice, representing a specific product, service, or package sold.
  • Client — client profiles in your database.
  • Invoice — the billing record the line item belongs to.
  • Service — the treatments or services offered by your clinic.
  • Appointment — individual bookings on the calendar.
  • Product — items sold from your inventory.
  • Payment — payments taken against an invoice.

This report uses two of these objects: Line Item and Invoice.

Step 5: Choose the Field

Clicking on the field name opens a dropdown of the fields available for the selected object. This report uses fields from two different objects:

Fields on the Invoice object:

  • Item Name — the name of the product, service, or package sold.
  • Item Employee — the staff member associated with the sold item.
  • Item Client — the client the line item belongs to.
  • Quantity — the quantity of the item sold.
  • Unit Price — the price per unit of the item.
  • Tax Amount — the tax applied to the line item.
  • Disc % — the discount percentage applied to the line item.
  • Item Net — the net value of the line item.
  • Item Category — the category the sold item belongs to (e.g. Package).
  • Unit Discount — the discount amount applied per unit.
  • Product Code — the code assigned to the product sold.
  • Discount — the discount amount applied to the line item.
  • Discount Reason — the reason given for the discount.
  • Item Gross — the gross value of the line item, before tax adjustments.
  • Item Tax — the tax amount specifically tied to the line item.
  • Profit — the profit margin on the line item.
  • Voucher Code — the code of a voucher redeemed against the line item.
  • Voucher Type — the type of voucher redeemed.
  • Voucher Status — the current status of the voucher.
  • Voucher Amount — the value of the voucher.
  • Voucher Remaining — the remaining balance on the voucher.
  • Voucher Expiration Date — the date the voucher expires.
  • Tax Rate — the tax rate applied to the line item.
  • Package Status — the current status of the package sold.
  • Package Redeemed — the number or amount of the package redeemed so far.
  • Package Remaining — the amount of the package still outstanding.
  • Package Expiration Date — the date the package expires.
  • Commission — the commission earned on the line item.
  • Paid Item Total — the total amount paid toward the item.
  • Item Total Price — the total price of the line item.
  • Package Remaining Gross — the gross value of the package still outstanding.
  • Package Service Name — the name of the service tied to the package.
  • Number of sessions — the number of sessions included in the package.
  • Package valid from date — the date from which the package is valid.

 

Step 6: Choose the Operator

The operators available depend on the field type selected. This report demonstrates a date field and an "empty check" field:

For a date field like "Invoice Date":

  • is — matches invoices where the date falls within the selected value.
  • is not — excludes invoices where the date falls within the selected value.
  • is later than — matches invoices raised after the selected value.
  • is earlier than — matches invoices raised before the selected value.
  • is exactly or later than — matches invoices raised on or after the selected value.
  • is exactly or earlier than — matches invoices raised on or before the selected value.
  • is now until — matches invoices raised between the current moment and the selected value.
  • is empty — matches invoices where no date has been set.
  • is not empty — matches invoices where a date has been set.

Step 7: Choose the Value

For "Invoice Date," clicking on the value opens a dropdown of preset date ranges under "Favourite intervals":
  • Today — today, from midnight until the current time.
  • Yesterday — the previous 24-hour day.
  • This month — the current calendar month.
  • This year — the current calendar year, used in this report's filter.

Use the search bar at the top of the dropdown to find a specific date range not shown in the favourites list.

By following these steps, you can build a filtered view of outstanding client packages in Pabau, combining conditions across both the Line Item and Invoice objects.
