# How to Build and Send a Supplement Plan

## In this article, we will show you how to build a supplement plan for a client, set the dose and timing for each supplement, and send, charge and print the plan.

A **supplement plan** for a client lists the vitamins, minerals and other supplements you recommend, with the dose and daily timing for each one. You search a catalogue of over 200,000 product labels, and each time you save, Pabau creates a new supplement plan that you can send to the client, take payment for and print.

**NOTE:** **NOTE:** Supplement plans are being rolled out to clinics in phases, and your clinic can switch each plan type on or off in [Plans Settings](https://support.pabau.com/en/pabau2/plans-settings?hsLang=en). If you can't see it, it isn't switched on for your clinic yet.

**NOTE:** Each supplement you add is sold through one of your retail products, so it needs a linked product, and therefore a price, before you can save it. Only staff with Setup access can link or create products, or add a supplement that isn't in the catalogue.

#### **Step 1: Prepare Your Supplement Catalogue**

Go to **Setup** and, under **Clinical → Medications**, click **Supplements**. The **Supplement catalogue** tab lists every label in the catalogue, with your clinic's own supplements first.

1. Search by supplement name or brand. Type at least 3 characters.
2. Use the **All supplements** menu to show only **Clinic supplements**, or **Archived** ones.
3. Click **Create custom supplement** to add one that isn't in the catalogue, such as your own brand. Only the **Supplement name** is required. Anything you enter under **Default dosing (optional)** (**Dose**, **Frequency**, **Duration** and **Instructions to the client**) fills in when you choose it for a client, and you can still change it for each client.
4. Click a supplement's name to link it to one of your retail products. You can replace or unlink the product in the same window.
5. The **Stock** column shows the linked product's stock across all your locations, with its retail price in brackets. It shows **n/a** when no product is linked.

Your clinic's own supplements have **Edit custom supplement** and **Archive** on the actions menu at the end of their row. An archived supplement no longer appears when you add supplements to a client, and client records that already include it don't change. Use **Restore** to bring it back.

#### **Step 2: Start Adding Supplements for a Client**

You can start a supplement plan in any of these ways. They all open the same window, titled **New supplement plan**:

- On the **Plans** page, click **Build plan** and choose **Supplement plan**, then search for the client and click their name.
- Open the client's card, go to **EMR → Supplements** (**Chart** in the United States) and click **Add supplements**.
- On the client's card, click the **+** button at the bottom right and choose **Supplements**.

What you add is linked to the client's appointment today, shown at the top right. Click it to choose a different appointment.

1. Search supplements by name, brand or barcode.
2. Click a result to add it. Each result shows the form, pack size, main ingredients and price, or **No price** if it isn't linked to a product yet.
3. To repeat something the client has taken before, click **Quick add** under **Past supplements**. **View details** shows the earlier dose and timing.
4. Use the panel on the right to check the supplement you select. **Knowledgebase** shows the Supplement Facts, precautions and suggested use from the label. **Safety** checks it against the client's recorded allergies and flags anything they're already taking. **Preview** shows the plan so far.

If the search finds nothing, an **Add "…" as a supplement** button appears. It only appears when the search finds nothing, and only staff with Setup access can use it. It saves the supplement as one of your clinic's supplements first.

#### **Step 3: Link a Product If Asked**

If the supplement isn't linked to a retail product yet, a window opens so you can link one. You only need to do this once for each supplement.

1. To use a product you already sell, search under **Find a retail product** and choose it.
2. To add a new product instead, click **Create product**.
3. Click **Link and add**.

If you clicked **Create product**:

1. Choose the **Retail category**.
2. Enter the **Retail price**.
3. Click **Create and link product**. The product uses the supplement's name and starts with zero stock, which you can update in Inventory.

#### **Step 4: Set How the Client Should Take It**

The **Add supplement** window opens with the details from the label filled in.

1. Check the **Dose**.
2. Choose the **Frequency**, such as **QD (once a day)**, **BID (twice a day)**, **TID (three times a day)**, **Every other day**, **Once a week** or **As needed**. Choose **Custom frequency** to type your own.
3. Enter the **Duration**, for example 3 months.
4. Pick the **Start date**. To be told when the course runs out, enter **Expires (days)** and tick **Warn me when this dosing expires**. A warning then shows on the client's Supplements tab when the dosing expires.
5. Under **Detailed instructions on how to take this supplement**, enter what to take at each time of day, from **On rising** to **Before sleep**. Below these, add any **Instructions / notes** (**Use label directions** copies the label's suggested use) and a **Note**.
6. Click **Complete**. The supplement joins the list in the middle with its price. Use the pencil to change it or the bin to remove it.

Repeat Steps 2 to 4 for each supplement, then click **Save supplement plan**. You'll see **Supplement plan saved**, and the plan is saved as a **Draft**. To charge the client now, click **Save & take payment** instead (the button shows the total). It saves the plan and opens checkout, and the plan becomes **Paid** once payment is taken.

Both buttons stay greyed out until every supplement in the list has a price, which means it is linked to a product.

**TIP:** When the supplement is linked to a product, the **Add supplement** window also offers **Complete & Dispense**, with the stock left in brackets. It works when there's stock and you can create invoices: it records that supplement straight away and opens checkout so you can sell it from stock.

#### **Step 5: Manage the Client's Supplement Plan**

The client's **Supplements** tab shows all their current supplements, grouped by plan, with each one's duration, start date and directions. Supplements that aren't on a plan are listed under **Other supplements**. Each plan shows its status and has its own buttons:

- **Send** sends the plan to the client by email or SMS. A Draft becomes **Proposed** once it's sent.
- **Checkout** takes payment for the plan.
- **Add to charge sheet** puts the plan's products on the bill for one of the client's appointments. It's greyed out once the plan is paid, invoiced or cancelled.
- **Cancel plan** cancels the plan and stops its supplements. If the client has already paid, you can choose **Refund and cancel** or **Cancel and keep payment**.

1. Switch between **Current plan**, **Plan history** and **Stopped**. **Plan history** keeps a dated, read-only copy of the plan each time its supplements change.
2. Click the **⋮** button on a supplement to **Edit** it, **Stop taking** it or **Delete** it. A stopped supplement moves to **Stopped**, where **Restart** brings it back. Deleting can't be undone.
3. Click **Print supplement plan** and choose **Default plan**, or one of your clinic's supplement plan print templates.
4. Click **Share Securely** to send the client a secure link to their current supplements.

**IMPORTANT:** The safety check compares the client's recorded allergies with the label text, and a supplement your clinic created is checked by its name only. Always read the full label and check the supplement suits the client before you recommend it.
