# How to Assign a Letter and View Its Activity Log

When several people work on your clinic's letters, for example a clinician who dictates and a secretary who types, assign each letter to the person who should pick it up next. Each person can then filter the Letters page down to their own work, and the activity log shows what has already happened to a letter.

**NOTE:** This guide uses the Letters page, which is available when Letters is switched on for your clinic. See [How to Enable Letters](https://support.pabau.com/en/pabau2/how-to-enable-letters?hsLang=en).

**Step 1: Open the Letter's Menu**

In the left sidebar, click **More**, then **Letters**. Find the letter you want to hand over.

1. Click the **⋯** button at the end of the letter's row.
2. Choose **Assign**.

**Step 2: Choose a Team Member**

1. In the **Assign letter** window, open the dropdown and pick the team member. Choose **Unassigned** to take the letter off everyone's list.
2. Click **Save**.

You see the message **Letter assigned**, and the name appears in the **Assigned to** column. Assigning a letter doesn't send the team member a notification, so they find their letters with the filter in Step 3.

**TIP:** You can also assign a letter while you write it: use the **Assigned to** button next to **Send & complete** at the bottom of the letter window.

**Step 3: See One Person's Letters**

1. Open the **Assigned to** dropdown above the list and choose the team member's name.

The list and the status tiles now count only that person's letters, so they can see at a glance what is waiting for typing, review or sending. Choose **Anyone** to see every letter again.

**Step 4: Check the Letter's Activity Log**

1. Click the **⋯** button on the letter's row and choose **Activity log**.

The **Letter activity** window shows who the letter is assigned to at the top, then a timeline with the date and time of each event:

- **Letter created by** and the name of the person who wrote it.
- **Printed**, when the letter was last printed.
- **Sent as email**, when the letter was emailed.
- For letters posted through Pabau (UK), each posting step, such as **Dispatched by Stannp** and **Delivered**, with the expected delivery date.

**NOTE:** The activity log records when a letter was created, printed, emailed and posted. Edits to the text and changes of status don't appear in it.

**Step 5: Mark the Letter as Completed**

When the work on a letter is done, click the **⋯** button on its row and choose **Mark as completed**. You see **Letter marked as completed** and the letter moves to the **Completed** tile. The option only shows on letters that aren't completed yet, and it only changes the status: it doesn't email, print or post the letter.
